Hey guys,

The end of nominations is a pretty busy time in MEFA land. I thought I
would mention some things that will be happening over the next two weeks
so you all know what to expect.

--- Nominations for the 2009 MEFAs is only open for a few more days. You
will not be able to make nominations AFTER 11:59 PM ON JUNE 30 (Tuesday).

This time is GMT; to see what this calculates to in your own time zone
please go to any page on the MEFA website and look for the "Page served
at:" line in the bottom left corner. This gives you the time that page
was displayed in GMT; you can compare it with your own local time to see
how many hours before or behind you are of GMT.

This is a hard deadline enforced by the website - the website will not
accept new nomination forms after the June 30 deadline. Even if you are
a few seconds late, we will not accept your nomination. So get them in
early!

--- Authors have an additional week (until July 7) to finish up their
nominations, email their liaisons to accept the nominations, etc. I
*highly* recommend finishing a few days early if at all possible, to
allow time to fix any errors your liaison finds.

--- I will be out of touch tomorrow and Sunday. Inkling has agreed to
watch the MEFAwards group for any questions you might have during that
period. Please post time-sensitive questions here, or ask your liaison
or the MEFA welcome manager. I will reply to all email sent to
mefasupport-at-mefawards-dot-net as soon as I can but you should not
expect a reply before Monday evening, which may cause you problems if
you need help making nominations.

--- As I will be out of touch, nominations will not be finalized during
those days. I appreciate your patience in this matter. If you are
concerned about the deadlines you should contact your liaison to make
sure you have done everything you need to do for your nomination to be
finalized.

--- Normally I would post the final list of hard-to-reach authors on
Sunday, but since nominations close early next week I will handle things
slightly differently. I will hold off on posting until after nominations
close on Tuesday night, and will include *all* authors that haven't
completed the nomination process for at least one piece. (I'll explain
more about that when I make that final post about hard-to-reach authors.)

--- On July 1 I will also send out an email to each nominated author
informing them of which nominations are ready to compete and which still
require work on their part. This email will also include details on how
to claim nominee banners, if they have not done so already.

--- After July 7 I will withdraw those nominations where the author did
not complete the nomination process. (Fill out form, accept by email,
etc.) Almost all the nominations displayed on the website will compete
in the awards. (Authors occasionally withdraw a story late, but this is
very rare.) If you have not already done so, I highly encourage you to
start reviewing at this point.

--- July 7 is also the deadline to withdraw stories. If you accept a
nomination, and decide after July 7 that you don't want it to compete
after all, it will be just like if it competed the whole year as far as
eligibility is concerned. That means it will only be eligible when
finished if the piece was a WIP, and won't be eligible again at all if
the piece was finished.
