Calling all Promoters Posted by aure\_enteluva March 25, 2006 - 0:46:17 Topic ID# 6844
Hey guys,

Over at the MEFA-discussions list we've decided that the 2006 MEFAs will begin on May 1.
That's not as far away as you might think, and it's not too early to start thinking about
next year. Do you want to get involved? Why not become a promoter?

To do this, you just have to be active on a Tolkien-related forum, LJ community, Yahoo
group, or any other way that members of the fandom gather and communicate. Basically
we want the people there to know who you are. Periodically I will write up an
announcement and you will post it at these places on behalf of the MEFAs. If anyone
replies with a question and you can answer it by pointing to a MEFA FAQ or rule, you can
do that. If you're not sure, send the question back to me and I'll prepare an "official"
answer that you can post to the group. this just makes sure everyone is getting good
information.

In the past I have tried to promote the MEFAs at corners of the fandom where I spend my
time and know people. But this year I'm not going to be doing that for two main reasons.
First, since Ive spent so much time promoting the MEFAs and giving official answers to
MEFA-related questions, I think some people view whatever I say regarding the MEFAs as
official. And I don't want to give the impression that we're somehow affiliated with those
places where I spend my fandom time and so would be making announcements.

More to the point, I simply won't have the time to be as thorough as I should. I'm too busy
with other areas of running these awards. I know that other people who have in the past
promoted the awards may not be able to do that again this year, too. Basically, don't
assume that just because MEFA announcements were made last year that they will be
made there this year.

Does this sound like something you might be interested in? It's actually fairly easy and can
be quite a fun way to get involved. Reply to this post and I will start a list of where the
MEFAs are being promoted.

FW: [mefa-discussion] Awards Schedule Posted by Marta Layton March 25, 2006 - 10:28:49 Topic ID# 6845
Hey guys,

Over at the discussion list weıve been nailing down the schedule for this
yearıs awards. It will be:

May 1-31: Nominate stories
June 1-7: Nominations finalized
June 8-21: Volunteers create subcategories.
June 22-30: Ballots posted to this Yahoo group
July 1-August 15: Reading Season
August 16-November 4: Voting season
November 4-8: Polls to vote on awards banners
November 8: Results announced at midnight

One important change: all days will end at midnight GMT (British time)
instead of midnight US Central time like we did in previous years.

If you are at all confused about this, I highly recommend

http://www.worldtimezone.com/

This site displays the current time in every time zone. Simply find your
time zone and compare it to the time in London. However many hours
difference there are, that is the number of hours you are ahead of or behind
GMT. So for example, it is now 4:09 PM in England and 11:09 AM in New York.
That means those of us in Eastern time (US East Coast) are 5 hours behind
GMT. So nomination season will end at midnight between May 31 and June 1 in
London, which translates to 7 PM May 31 for Eastern time.

Another example: Itıs now 12:09 AM in Singapore and 4:09 PM in London. That
means Moscowıs time zone is eight hours ahead of GMT, and nomination season
there will end at 8 AM on June 1.

Hope that makes sense.

Marta

Actually, stories just need to be published at an eligible site before
theyıre nominated. Eligible means (basically) that you donıt have to log in
to read the story, and that if the storyıs more than one part, then thereıs
an easy way to get from page to page.

So in theory I could post a story on May 12 and you could nominate it on May
13.

This is a change from previous years and came out of some questions AmandaK
asked at the LiveJournal. I was going to announce it here and the LJ but we
just decided on it not too long ago.

Important change: Publication Dates Posted by Marta Layton March 25, 2006 - 11:36:18 Topic ID# 6850
I just said this in a reply to Branwyn but don't want people to miss it, so
I'm going to repeat it here.

In previous years, stories had to be published before the start of
nomination season. If nominations started on April 1, the stories had to be
published by March 31 to be eligible.

This year we're changing that a bit. Stories just have to be published by
the time they're nominated. That means that a story could be published
during nomination season if someone nominates it after it's posted. Just
make sure that when you nominate a story, the URL you give really does point
to the story, that the archive doesn't require you to log in to read the
story, etc.

Web Service paid For Posted by Marta Layton March 26, 2006 - 0:26:41 Topic ID# 6856
Hey guys,

In the interest of transparency:

Anthony and I selected a web service to host the MEFA site. I paid for the
service using my own account (24 months x $6.95/mo = $166.80). I then
transferred $166.80 out of the MEFAs' paypal account into my personal bank
account.

I didn't want to make such a large transaction without informing everyone.

Thanks,

Hi, Marta. I don't know how much help I would be as a promoter for the MEFA, as we seem to visit the same sites, but would like to help if I can. I'm on LJ, various archives, my website, and other places were announcements might be of value.
Or, if you would wish me to help in another area, I'd be happy to. I think the MEFA is immensely valuable to the fandom and would be honored to participate.

I think that's a good change personally - given
all the timezones are based upon GMT - it's going
to make it a lot easier for everyone to work out
the time in relation to them.

Iıve decided not to act as a promoter. Iım just too busy in other areas of
the awards. Are there any specific groups youıd like to make announcements
to?

Weıll be looking for volunteers in a few weeks. The first thing weıll need
are ³author liaisons² -- the people who emailed you last year when your
stories were nominated and walked you through that process. If you want to
help out like that, the more the merrier. We can always use more liaisons.
But even more important, you can just get involved. Nominate and vote,
design awards banners if youıre inclined that way, and just talk the MEFAs
up among your friends.

Marta

So, just to clarify: should we be posting the MEFA scheduling post to
those lists?
