I'll just say this, when a graduated category became available, it was
available for any story that might seem to fit it better. The author didn't
have any chance to decide if Rohan or Gondor or Gap-Filler would be in the
top three. So once they became available, it was just up to the
categorizers to try and decide where a story would fit best.

I looked at subcategory suggestions, 2nd and 3rd choices and summaries.
I don't claim to be perfect. This is what check ballot season is for. More

But please put your requests for changin a category more politely. Think
about this from the categorizers perspective: There were 200 LOTR
nominations. The largest category. And I really do believe it was harder
this year than last. The one thing the MEFA2005 site made harder than the
nmanual work last year. I at first, in a rush, moved very story that
mentioned Rohan and Gondor. Then I rethought it. Went back and looked at
every summary for those I'd moved. I moved some back. I stayed up very late
and worked a long time when I had many other things going on in my life.

Yes, this is what check ballot season is for. I certainly didn't imply that anyone was "stupid". I know that all of the stories could not be read by the categorizers, that they might not be familiar with this one. I am, and so, as we were asked to do, I pointed out that I felt the category was wrong, and why, and provided you with all of the pertinent information so that *you* could make a decision about moving it. I wasn't accusatory, nor do I think that I was rude or impolite.

I do not expect anyone to act on it now.
As I've begun reading and reviewing, I began by filtering down to just
drabbles, so as to get the small stuff out of the way before I went on
to the longer stories. The filters, of course, are set to the
suggested categories at the moment.
I came across one piece called "Small", which was not a drabble.

looking in, I'm not certain how or even if the filters will change

Right. Apparently whoever was handling the Hobbits category noticed
that it wasn't a drabble and put it in a non-drabble category. For some
reason the story information was just never changed.
I think next year we need a checklist of things that the author liaison
need to double check. For example, if a story is nominated as a drabble
we need to somehow verify that it's roughly 100 words. (Or else, a
series of 100-word pieces.) I have a program that does a reasonably
good job of word counts, and most word processors have (somewhat less
reliable) word count features. And I can usually eyeball it and tell if
it's roughly 100 words anyway.
Anyway, for next year maybe we could have a list of things that us
liaisons should check, and include that you should verify that drabbles
are really drabbles.

I do know that right now, if you're an admin you can click on a link
where you can sort the story based on their final category (instead of
the first, second, or third choice categories that the nominators
suggested -- it's the one we finally placed the story in. This brings
up a list of all the stories in that category like what everyone sees
in the "Browse Stories" section, with the stories grouped by their
subcategories. But I honestly don't know how we'll present this
information to all members of the site.

Last year after the awards were over we discussed what categories from
last year we would keep this year, and what categories we would drop,
and what new ones we would add. We also decided to go with something
called "graduated subcategories". For example Gondor and Rohan were
originally subcategories of RP: Men. But they were so big that we made
them their own category. (If a subcategory reaches twenty stories, the
admins can do that if they think it's appropriate.)
As for subcategories, for the most part the admins created those by
seeing where lots of stories had the same suggested subcategories. (We
also looked at the summaries and at the second and third category
choices for potential subcategories.) The exception is drabbles,
poetry, and incomplete stories (WIPs). These have to run in their own
subcategory.

I'll take as the upshot of all this then that if I've filtered by
story type and what I get is not what I was looking for then there's
an error on the website and I should report it because it can be fixed
*now.* Okay. I guess that part's not post-mortem after all.

both pieces of paper and computer files are subject to being bent,
folded, spindled and mutilated between now and the next school year.

stories nominated by their first, second, and third choice categories,
author's name, mandatory subcategory (WIP, poetry, drabble)... I'm sure
I'm forgetting something, but you get the idea. So I could display all
of the "The Hobbit" drabbles by selecting "The Hobbit" as the first
category choice and "Drabble" as the subcategory.
Admins have access to a similar page, through the "Assign Final SubCat"
length. Only ours has an additional search option, "Final Category" or
something like that. So if a story was assigned to its second choice
category, searching for the first choice category on the "Browse
Stories" page would display it with the wrong group of stories. It's
still there to be found, but you wouldn't find it with the category it
will be running with.
However, on the admin page you can sort by final category, and this
will show all the stories assigned to a certain category. Regardless of
what their first choice category was. I was suggesting that we might
add this field to the browse stories page, allowing non-admin members
to sort this way.

all the people who weren't around last year, the MEFA2005 site is a new
thang! Right up until the last week of March 2005 we'd planned on doing
this awards manually like we did last year (with the exception of the
changes decided on during post-mortem). The automated web-site was
something hoped for but not assumed. Then along came Anthony and suddently
it bcaem a possibility. Only in the last week of March did Anthony and I
know it was going to work. ;-)
March 31st we sent out login info to every MEFAwards member we could reach
and on April 1st the whole thing went live. And we've been learning as we go
from there.
The MEFA2005 site was a conference web site tool that the creator said we
could use. Anthony has taken this and customized it for us, tweaking it
here and there and overhauling it where needed. I've been wrapped up in
Check Ballots so I haven't ventured much beyond that yet. For Reading
Season, I'll more likely login as Ainaechoiriel (who is not an Admin) rather
than mefaadmin (who is an Admin) and I'll be seeing what everyone else sees.
Put these sorts of wishes in the wish-list too. Website tweaks are possible
this year (if they are technically possible). They don't have to wait until
post-mortem.
The categorizers thing where they couldn’t edit story details I wasn't aware
of until too late for this year. Being an Admin at the same time as a
categorizer meant I didn't see what everyone who wasn't an Admin wasn't
seeing. We had to kind of brainstorm what access would be needed for which
groups.

nominations much easier. I know that much of the system is new, so we
probably need to tweak it for next year. But I think it's gone very
well for a first run.

made it so much easier. Just categorizing was a pain. We'll have to see if
we can tweak it and make it easier next year. I think from here on, it's
pretty much clear sailing.
