Hey guys,

In previous years I have posted weekly "admin" posts. Not announcements
so much as educational "how-to" post. this year I haven't done that
nearly as regularly as I would like, mainly because of a busy RL.

I'm going to start those posts up again. And while I have occasionally
find the time to review, it is not nearly as much as I would like to. So
I'm going to try to find more time for that as well.

I mention this because I suspect some of you may be in a similar
position. Perhaps you had good intentions of reviewing over the last few
months, but have let yourself get out of the habit. It happens to all of
us. It happens to *me.* If there is something you wanted to do with the
MEFAs, like reviewing or telling your friends about them, I want to put
my own situation out there, to encourage you. It is most definitely
*not* too late to get involved. There's a month and a half left in the
awards. If you want to review, consider this my invitation to have a
clean start, MEFA-wise.

I also want to mention some people who have been quietly but steadily
investing their time with the MEFAs. Annmarwalk has been posting reviews
every day to LJ, and every week to the MEFAwards Yahoo group. Elea24
forwards responses from authors to the people who reviews them. Elliska
sets up memberships at the MEFA website. Aranel and Tanaqui are putting
in major effort to some exciting new technical projects related to the
website. I have no doubt that there are other people as well, who work
very hard to make these awards work as well as they do. The banner team,
the liaisons, other groups... there are lots of people who are working
hard to make the MEFA happen.

And perhaps most importantly there are many, many reviews that have
already been written and posted. Check them out at the MEFA website. My
special kudos to those reviewers who have already met their reviewing goal.

I'll post the new "Admin" post in a moment, and will continue to do that
every Saturday from here on out. But I also wanted to thank those who
have been so reliable in their MEFA participation and volunteering - and
to encourage those of you like me, who want to get involved again in a
bigger way.

Hey guys,

I hope you all are enjoying this years reviews, and perhaps finding
some stories you'd like to review yourself. It's not too late to get
started with reading stories you'd like to read, though as every veteran
MEFA reviewer will tell you, the secret to getting the most out of the
MEFAs is to start early.

On that note, I'd like to talk a bit about how to find stories to
review. There are over 700 nominations this year of all types, and that
may sound like an overwhelming task. But you really aren't expected to
read every story; the MEFA website shows stories in different orders to
different users, so if a story is at the top of your list it's probably
not at the top of someone else's. If a story interests you, then read
it, and if you likeit write a review. The more people involved - even if
they don't consider reading every story - that makes for a better awards
in my experience.

If you're still feeling a bit daunted by finding stories to read, the
website offers a pretty powerful search tool that will help you find
ones you like. I'd like to go over how to use that this week.

HOW TO FIND THE STORY LIST

Before you can start searching for stories. you first have to get to the
"Stories" page, which lists every nomination in the awards with some
basic information about the story. Getting to that is really very easy.

1. Log in to www.mefawards.net/MEFA2009/

2. Click the "Stories" link at the top of the page.

And that's it! You will see a list including all of the nominations
except for those stories you have told the website to "Skip" (more on
that in a minute), in an order that is specific to you. No other member
will see them in quite the same order. The information displayed
includes its rating and romance partners, its length, whether it's a
WIP, a summary for it, and the subcategory it is competing in.

For more extensive information you can click the "Story Details" link,
or you can read the story by clicking on the title. You can also add it
to your skip or wish list or enter a new review, using the links on the
far right side of the screen.

USING THE FILTERS

When you first show the story list you will probably see a link called
"Show Filter." Click this and the website will reload, showing a series
of drop-down menus. (These menus may already be showing if you have used
them before.) Each of these give you a way to narrow down the list.
There is a description beside each drop-down list telling you what it
does, but I'll go through them in more detail in a minute.

These lists are probably the most useful way to whittle down the list of
nominations to a manageable size. You can use the Main Category and
SubCategory filters to find stories that are competing against each
other, or you can find all the stories involving a certain character or
setting or many other options like that, that will help you find stories
you are more likely to enjoy. Of course I really encourage you to branch
out - but do feel free to start with what you like. If you love Maglor
stories, use the character filter to see if any of the Maglor stories
interest you.

But one warning: the menus are cumulative, meaning that if you pick from
two menus at the same time it will only show pieces that match *both*
selections. And the menus remember what you chose until you click the
"Clear All Filters" button. What this means is, if you are done looking
at the current list of stories and want to use the filter again, click
that Clear All Filters button. Otherwise you might get a very short list
of stories - those that were on your old list but that would also be on
your new list.

SKIPPED STORIES

Skipped stories don't show up on the story list or when you use any of
the filters, unless you tell the website to show them specifically. You
can do this using the "Review Status" filter. Select the "Skip" option
(second from the bottom) and then click the "Display selected
nominations" button.

This will show all the stories you've told the website to skip. You can
narrow it down by using the other filters - for instance, selecting Skip
from the Review Status filter and Gondor from the Setting filter will
show you stories set in Gondor, that you have told the website to skip.

If you want to see a skipped story along with non-skipped stories, you
need to remove it from your skip list. To do this just bring up your
skipped stories and click the "Remove from Skip/Wish List" link to the
right of the story. Otherwise it will not show up when you just use the
filters described below, unless you've also told the website to display
your skipped stories.

THE FILTERS - WHAT THEY DO

Now that you know how to use the filters you probably would like to know
what they will actually show you. Let's run through them one by one.

*** Story Type ***

At the MEFAs pieces are sorted into subcategories together by their
story type - Drabble, WIP, Poetry, Non-Fiction, or full-length Story. If
you would like to read just one of these types, the Story Type filter
will let you pull that story up.

*** Authors ***

Just what it sounds like. If you have a favorite author, you can find
all the stories by that author using the author menu.

*** Main Category ***

*** SubCategory ***

At the MEFAs pieces compete against about 5-13 other pieces. They're
sorted first into a main category (based on the three category choices
authors use to describe their story), and then we split it up further
using story type as well as characters, subgenres, that kind of thing.
You can find all the stories competing in a certain main category using
the main category filter. Once youve selected a main category, you will
then be able to select a sub-category from that menu, which will show
you all the pieces competing together.

*** Review Status ***

You can show your skip or wish list using these filters. You can also
use it to show the stories where you have already entered a certain type
of review, or the ones you haven't reviewed at all.

*** Length ***

Do you only have time to read a ficlet today? Or do you really want to
find a nice juicy novel to sink your teeth into? MEFA authors describe
their story as being of a certain length. Choose the one you like best
to find stories you are most likely to enjoy.

*** Rating ***

All MEFA entries are rated either General, Teen, or Mature, based on a
ratings guideline in our FAQs. You can see what rating a story is by
looking at the description of it, on the first line below the title. But
you can also tell the website to just display stories of a certain
rating, using the Rating filter.

*** Genre, Race, Time ***

The Main Category filter shows you all the stories that ended up in a
certain main category. But as I said this is based on the *three*
category choices each author gives us. That means that the author
selectd two genre, races, or time periods that it wasn't placed in. Want
to see all the stories that selected Ring War as a category, whether or
not they were placed in it? The Genre, Race, Time filter will let you do
just that.

*** Character ***

*** SubGenre ***

*** Setting ***

*** Canonical Event or Time Period ***

When describing their story, authors are given the option to choose from
a wide variety of characters, settings, sub-genres, and events from
canon around which the story is set. If you like to read friendship fic,
or Bilbo-centric fic, or stories set around the fall of Gondolin, well,
here's your chance. Use these filters separately or together to tailor
the list to your reading preferences.

*** Sources ***

The MEFAs accepts stories based on all of Tolkien's writings, as well as
crossovers with other fictional worlds and our own historical earth. But
you may only want to read stories based on those works with which you're
most familiar. Authors are encouraged to describe what sources their
stories draw from, and the Sources filter will let you find those pieces.

OTHER SEARCH METHODS

You can also do a text search. This looks for certain words in the
title, author's name, and summary. Just start typing in the Search bar
below the filters.

Additionally, you can look up a story by its ID #, if you know it. Just
do a search for that number, followed by the # sign.

Please keep in mind, the website looks at the text search kind of like
another filter. That means if you've selected something from the filter
and then do a text search it will only pull up stories that meet *both*
the filter *and* the text search. It's best to click the "Clear All
Filters" button before doing any text searches, and to click the same
button after a text search before using the filter again.

Hey guys,

I've received word that HASA will be offline for a few days in late
December. They will be doing site updates and so stories archived at
that website will be unavailable, probably for a day or two the week
before Christmas. (I will let you know exact dates as soon as I hear.)

How does this affect the MEFAs? Our website gives links to stories
posted at other sites. That means that when the HASA site is down, if
you click on a link to a story posted on that site, you'll get an error
message. This isn't something the MEFAs have any control over. When this
happens you should just review stories posted at other sites, and add
the stories hosted at HASA to your MEFA wish list. That way you can find
them more easily later.

Since this will happen so close to the end of MEFA voting (December 31),
I also wanted to mention it beforehand. If there is a story posted at
http://henneth-annun.net that you particularly want to review, don't
push that off until the last minute. Depending on when you have time,
the site may not be available.

Your nudging the reviewers has spurred me to ask if there is a glitch somewhere along the way which is keeping me from seeing any reviews for my story "Not This Day". So far all I have is a big fat zero.

Hi, Elvish Writer!

You won't see a review for your story if it has been saved as draft by the reviewer, or if the reviewer has chosen for it to remain hidden until a later time. So you could have some reviews lurking there that just haven't been revealed yet.

This nudging is spurring me on to finish my draft reviews and make them public! ;-)

Hey guys,

There's been some talk lately about when certain types of reviews show
up on the MEFA site. I don't mind what's been discussed so far, but I
don't want to go too far toward discussing specific stories. I don't
want people to feel like they should review the stories being discussed.
But as for general discussions - that's fine, and probably a good thing
to mention.

When a reviewer enters a vote at the MEFA website, they give it one of
three status: draft, hidden, and final.

--- Draft reviews are never visible to anyone beside the reviewer (and a
few top-level admins). They are counted. These reviews are for reviews
where the reviewer isn't sure they want the review "counted." A lot of
these reviews are notes people make as they are reading the story, that
they later want to turn into a more formal review at a later date.

--- Hidden reviews will be displayed and counted at the end of voting.
The value of hidden reviews is that they can be edited up until that
point, but will automatically be counted if the reviewer doesn't do
anything more with them.

--- And final reviews are the ones that show up now.

So if you aren't seeing any reviews for a particular story, it doesn't
mean there's a problem with the website. Or that that story is getting
overlooked. It's very possible that there are more reviews that have
been written but aren't displayed yet. And it's even more possible that
people want to review your story or are behind in their MEFA reviewing.
There are still several weeks to go.

I'm not unsympathetic - we all want feedback, so I can understand why
people might be anxious that they haven't gotten very many (or any)
reviews. But because of the way our competition is set up, it doesn't
really mean that much, in terms of whether you will get reviews or not
overall.

This is a good reminder of the limits of this system during the voting
season! It's tempting to think "Nobody likes me" when you don't see a bunch
of reviews popping up. But obviously that's not true.

It's also a reminder that time's passing and there is less than two months
left-- and that the busiest time of year (in both RL, and in fandom) is
coming up! Waiting until December to review might mean you won't get to do
as many as you want to!

Again, not wanting to nudge people into the directions of any particular
stories-- but some might want to take a look at the review status
story filter: there is a filter for 2 or fewer reviews, and one for 0
reviews. This could be helpful to those who might want to spread their
reviews among some of the lesser known stories.

Yep. I've done a bunch (for me, it's a bunch) but still have a bunch
more on my wish list. I doubt I'll be able to get to them all, but I
need to get back in the groove of doing one or two a night and see how
far down the list I can get.

Hey guys,

Continuing with the weekly educational posts, this week I would like to
draw your attention to some of the types of stories you can vote for in
this year's awards.

When a story is nominated, the author describes it as fitting into three
groups that will eventually become the main categories. These include
the race of the characters involved, the genre, and the time period in
which it is set. Authors rank their preference for how they'd like their
story categorized, and MEFA volunteers put the story into one of these
three category choices.

But perhaps you want to find all the stories involving hobbits, not just
those competing in the Hobbits main category? Our website lets you do that:

1. Log in to www.mefawards.net/MEFA2009/
2. Click the "Stories" link at the top of the page.
3. Click the link to show the filter (if it isn't already showing).
4. Click the "Clear All Filters" button to clear out anything you had
searched on before.
5. Select the race, time period, or genre you would like to see from the
"Genre, Race, Time" menu.
6. Click the "Display selected nominations" button.

This will show you all the stories whose authors selected that category
as any one of their three choices. It's a good way to find nearly all of
the stories involving a certain character group, set in a certain time
period, or of the same genre. While I encourage everyone to broaden
their reading habits for the MEFAs, there's also nothing wrong with
starting with the types of stories you find most appealing. Or sometimes
you are simply in the mood for a certain type of story. These filters
can help you in situations like that.

I noticed this earlier tonight when I tried to get on my account.  That is the only fanfiction website which I actually write for and the fact that I can't get to any of my stuff is starting to scare me a little.  I have my stories saved on my computer and flash drives, thankfully, but every bit of feedback I've ever gotten is on that site and it's very disheartening to think I'll never be able to see it again.  I hope that it will be able to continue running.  In the meantime, Dreamflower, you might want to email the site's host- I think she posted her email address on the page.

There is a way to retrieve stories from LOTRFF, even though the archive is
currently down. You can either search for the name of your story on Google
and then click "Cache," or go to _http://www.archive.org/index.php_
(http://www.archive.org/index.php) and paste in the address. The Internet Archive
site will give you a list of update dates for which you searched; click on
the most recent date. The good thing about the Internet Archive is that
you can follow most of the links on a page that is no longer online, while on
Google, you can only access cached copies of the pages that come up in the
search.

I hope that Lord of the Rings Fanfiction comes back and will be able to
continue and expand.

I too, have several stories there, though I've not uploaded them all yet.
But what concerns me is the MEFAs, since it's possible there is no other way
to access some of the nominated stories that are archived there. I know
I've already left reviews for a few of them, and have others on my wish
list.

What would be the MEFA policy on stories that were properly available at
nomination time, but then later on become unavailable through no fault of
the author?

Dreamflower,

I just checked the Internet Archive, and at this time, that site has not
picked up pages from LOTRFF since 2007. The Google cache method would be
more reliable for recently updated sites, but not every page of a story may be
picked up by Google. At least something will be available, though.

Thanks for bringing the issue with http://www.lotrfanfiction.com/ to our
attention.

I've just checked the site and there is now a message explaining that
they have exceeded the resources allowed for their hosting package and
asking for donations to keep the site running. There's still no
indication when/if the archive will be available again.

These stories continue to compete in the MEFAs. Where possible, we do
what we can to ensure they are not disadvantaged, such as switching URLs
to a different site where the author can supply us with that.

At present, there are 29 stories affected. These are by 12 authors:
Ignoble Bard, Kenaz, chaotic_binky, j_dav (JDE), Midnight, Beruthiel's
Cat, Faoiltierna, Pink Siamese, Esteliel, callerofcrows, Formegil and
Naltariel.

I will be emailing all of these authors later today to let them know
about the situation and to ask them to supply alternative URLs. However,
if you're on the list, please feel free to email us before then at
mefasupport-at-mefawards-dot-net and provide us with alternative URLs
for your stories. If you do not have the story archived elsewhere,
please also feel free to contact us at the same email address and we'll
do what we can to find another place for you to archive.

(Thanks also to Angmar for suggesting a way to possibly find the stories
in the short term by searching through Google and using the cached version.)

This is a disheartening situation as I love the LOTRFF archive because it allows for all ratings and any genre to be posted there. Since there is such a wide range of authors writing in various genres affected, might I recommend those authors be referred to HASA (which also allows any rating and genre including slash)? It might be a good alternative, at least to make sure the stories make it through MEFAs. I know some of those authors don't post elsewhere...

I also have quite a few stories archived there and I'd hate to see this site lost! As you've noted, the site hosts any genre and rating. Amazing to consider the volume it must have reached to have caused such a problem with hosting all those stories.

Hi NiRi and Cathleen

I've been in touch with the webmaster at lotrfanfiction. While I
obviously can't speak for her, she's indicated that the donations drive
is likely to be successful enough for her to bring the site back online
in the next few days. Let's hope that's the case!

The mods of the LOTR GFIC group's archive, "Many Paths to Tread", which
will open to the public January 1st, would like to offer our site as an
option for authors at LOTRfanfiction. All stories *will* have to follow
our ratings guidelines and I'm including the link here for those who are
interested in looking into this. We allow ratings G - R, but we do have
some specific posting guidelines for the type of stories that are
acceptable. We will not require MEFA authors affected by the problem
to join our group or challenge site in order to post at MPTT. This is an
exception, as currently only members have posting privileges. However,
we certainly welcome you to check out those groups as well. Also, for
technical reasons, a mod will have to to give new authors posting status
manually, which may take only a few minutes or might take up to a day.
I'm pleased to add that there are some stories nommed at this year's
MEFA's that are already hosted at our archive! Hopefully,
LOTRFanfiction will be up again soon. In the meantime, feel free to ask
if you have any questions about MPTT. We're pleased to be part of the

Just a small thought on the 'happenings' with regards to websites.

One site that I follow closed down last month due to the mod's RW issues and
such.

One site that a friend follows closed down this month due to that mod's RW
issues and such.

I'm sure there are others that I don't know of and lotrfanfic site's
problems just makes me ponder the future.

I think that we all, myself included, must continue to support and nurture
the sites that we are involved with or post at or read.... notes of
encouragment, perhaps monetary donations, and especially 'activity' at these
sites are paramount to keeping folks who love LOTR and all things related to
it - up and running.... it has been too many years since I read the books
and fell in love with Tolkien's world... but since the movies came out, my
'involvement' has increased exponentially. Others though, have been in the
'field' much longer and can become tired, burnt out, distracted. To keep
these dedicated folks going (and their websites), I think it would behoove
us all to take a moment at least twice a year to say 'huzzah! thank you!' -
I don't think it can hurt.

Again, huzzah and thank you to the MEFA volunteers, those who submit, those
who review, and those who write. I do so enjoy this competition for the
plethora of materials and sites it brings to my attention.

Thanks for the thanks, Agape - it does help!

Regarding archives closing down due to real-world issues and so on,
there's a fannish project to try and rescue archives when that happens.

It's run by the Organization for Transformative Works (you can read
about all the other fanfic/fanwork and fan-related things the OTW gets
up to at http://transformativeworks.org/). The archive rescue project is
called "Open Doors" and details can be found at
http://transformativeworks.org/projects/opendoors.

If you know of an archive that's at risk of being shut down, please do
let the person running the archive know about Open Doors. Maybe OTW can
help them keep the archive content online.

Hey guys,

Continuing with our (semi-regular) educational posts, this week I would
like to draw your attention to some of the types of stories you can vote
for in this year's awards.

When a story is nominated, the author describes it as fitting into three
groups that will eventually become the main categories. These include
the race of the characters involved, the genre, and the time period in
which it is set. Authors rank their preference for how they'd like their
story categorized, and MEFA volunteers put the story into one of these
three category choices.

But perhaps you want to find all the stories involving a particular
race, such as Hobbits, not just those competing in the main category for
that race? Or all stories relating to a particular time period or of a
particular genre, even if they're competing in another category. Our
website lets you do that:

1. Log in to www.mefawards.net/MEFA2009/
2. Click the Stories link at the top of the page.
3. Click the link to show the filter (if it isn't already showing).
4. Click the Clear All Filters button to clear out anything you had
searched on before.
5. Select the race, time period, or genre you would like to see from the
Genre, Race, Time menu.
6. Click the Display selected nominations button.

This will show you all the stories whose authors selected that category
as any one of their three choices. It's a good way to find nearly all of
the stories involving a certain character group, set in a certain time
period, or of the same genre. While I encourage everyone to broaden
their reading habits for the MEFAs, there's also nothing wrong with
starting with the types of stories you find most appealing. Or sometimes
you are simply in the mood for a certain type of story. These filters
can help you in situations like that.

This week, we're listing all the stories in the later time periods --
Pre-Ring War, Ring War, Post-Ring War and Beyond, Modern Times -- as
well as those that span multiple ages in Multi-Age.
