Hi All
Aranel and I have been working to fix several errors that have cropped
up with the MEFA2007 site. The site may have moments of being down
throughout the day whenever we upload fixes, but it should usually be
back up in a couple of minutes.
One issue we're still working on is that several people have reported
they've seen errors when nominating a story, even though the form has
been filled out correctly. Aranel and I have looked into this and
identified that it happens when you add a new author and then
immediately try to nominate a story by that author.
Aranel is working on a fix to the code but until that's ready the
"quick fix" is to log out after entering a new author, and then log
back in to add the story. The form will then correctly pick up the new
author you just entered and no longer show the error.
If you have any other problems, please let us know!

I just sent an email to mefasupport, because I was unable to log in to
the MEFA2007 site using my username and password from the 2006 site,
which I thought were supposed to work for both. It doesn't recognize
my email address, either, for requesting my password.
I can log in as a guest, but not as myself. ;-)
Thought I'd mention my wee trouble here as well!
Thanks!

Hi Linaewen,
Thanks for posting here. I was checking in during a lull at work, and
probably would not have seen this until tonight if you hadn't posted
about it here (as I usually don't log in to mefasupport away from
home).
For some reason your account was never set up at the voting website.
It should have been. With as many members as we have it's inevitable
that we'll occasionally make mistakes, so if you ever don't have
access to something you think you should be able to, speak up so I or
another volunteer can look into it for you.
I've set up your account now and emailed you the account information
privately. Let me know if you have any more problems.

Problems with Nomination form for newly added authors Posted by araneltook June 01, 2007 - 14:33:45 Topic ID# 7866Hi everyone,
Tanaqui and I bashed away at the code today and we think we've found a fix for the problem.
It seems that the form was trying to do full error checking (with required items like Story
Type, Suggested Categories, etc), on the Nomination form for newly added authors when it
only asked for title and URL.
I think we have it set up so it will no longer try to error check. I'm not sure if the Nominator's
items had been error checked in the past (for missing URL or title), but they aren't now.
Liaisons will need to watch for those things.
This has apparently been a problem in the past, so this is a temporary patch and we will try
to fully fix the issue for next year's site.
If you notice anymore wonky behavior, let us know!
Thanks!
Aranel

announcement concerning liaisons Posted by aure\_enteluva June 02, 2007 - 18:45:37 Topic ID# 7867Hey guys,
Tanaqui and Aranel straightened out an error on the web page this
afternoon. It had to do with how your liaison was displayed. It's
fixed now, but until recently some of you may have seen the wrong
person listed as your liaison.
If you have sent an email to Acacea, Nancy Brooke, Rhapsody, or
Werecat about a nomination for the awards, please email
mefasupport(at)gmail.com. If you still have the email you sent in your
email's sent folder, please forward it to me so I can pass it along to
your new liaison. I don't think this will affect that many people, but
I do want to make sure your emails get to the person who needs to see
them!
If you have any questions, you can ask them here, or email me
privately at the above address. Thanks for your cooperation.

I noticed that I am supposed to have recieved an e-mail from my liaison for
my nominated stories already. I haven't recieved one yet, though the site
says they were sent. I did check my spam trap first, to see if they were
caught there, as I remember that being a problem last year, but they were
not. I'm wondering if anyone else has had this problem.

Hi Dreamflower
I've checked and the email address that's listed at the MEFA voting
site is a cableone.net one, not the address you're subscribed to this
group with. So they will have gone to the cableone.net address. Have
you checked there?
If you have, and they still haven't arrived, let me know and I'll dig
deeper.
As a reminder to everyone - if you've changed email addresses in the
past year, you may want to check that your user details include have
the email address you currently prefer to use.

Hey there,
A compliment to throw youse guys' way. Nice changes to the form. I
found it much clearer and intuitive to use. Nice work getting it
visually and thematically organized.

Ah! So *That's* the problem! The cableone.net addy is no longer valid! I
changed my email address at Yahoo! Do I need to change it at MEFA as well?
How should I go about doing that, if so? Or does admin have to change it
for me? This is the only email address I currently use.
Thanks!

Hiya Dreamflower,
website are two separate things.
To do this:
1. Log in to http://www.mefawards.net/MEFA2007/
2. Click on Name/Password.
3. Enter your new email address and click the "Save" button at the bottom of
the page.
Please post back when you've done this. I'll ask your liaison to resend your
nomination email to your new address.
Thanks,
Marta

And so glad you found it easy. I think it is, too. *g*

Just got back from a week out of town and see the awards have kicked off to a sizzling start--over 200 stories nominated already, and this is, what, the 5th of June? (Just glanced at my calendar. Still says "May". Have the feeling that as soon as I flip the page, the holiday--working holiday though it was--will be officially over and I must plunge back into the impossibly busy schedule once more.)
I am sorry that I have no time to help out at present. Are there still jobs wanting volunteers, later in the summer? I can't do much after mid-September, but I'll have a run of less-tightly scheduled days in July and August.
I am glad nominations run until July--am going to be very busy, yet, through the end of June, but once July starts, hoorah, I will have time again for reading. And nominating. But probably all the stories I would have nominated will already have been nominated before July 1. Such is life. At least I'll be able to go right into reading, if that is the case. ...which brings up the question--I see there are links for "voting" or writing reviews or whatever we're calling it. Are these links active now? Can people start writing and saving draft/tentative reviews?
I'm sorry if this has already been hashed out on the list. I've been deleting more mail than I've been reading, the past few months.
Anyhow, cheers, everyone, and looking forward to summer reading!
All the best,
Lindelea

I see at the bottom of my digests that yahoo is including a link to the old MEFA site (MEFA2006). I assume it's the old site, anyhow. Perhaps someone could change that?
Thanks,

Hi Lindelea,
Yes, nominations have been coming in quite quickly! And a lot of interesting
stories have been nominated.
I appreciate your interest in volunteering. We will be sorting the stories
into categories and subcategories the last week of July and first week of
August. If you'd like to help with that, I'll be asking for volunteers after
nominations close on July 15. Beyond that... You're a great reviewer. It's
not particularly glamorous, but it's one of the most important jobs anyone
can do in these awards. You can always focus your time on that. *g*

Hello,
I tried to edit my story details using Firefox and got a very odd looking page (see attached screenprint). When I called up the same page using Internet Explorer, the page looked normal.

Hi Lia,
What happened is that I probably did a site update while you were working in Firefox, so
that kind of "scrambles" things a little because I'm swapping code out from under you.
When you see something like "S_STORY_STUFF", click on the "Reload Language File" in the
menu bar. When you tried the page again in IE, you reloaded that file, which is why it
worked again.
Sorry for the trouble,
Aranel

Hey guys,
Recently we had a problem with the same author having stories
nominated under different names. It's easy for this to happen, so I
thought I would remind you of what to do when you don't see your
nomination's author in the list of authors.
There's a link under the list of author that says "Author not in list?
Click here!" But before you do that, you should search the users to
make sure they aren't already listed under a different name. To do
this click the "users" link in the top of the page. Search for the
first half of their email (everything before '@'). If someone turns up
when you search this way, then you should use that name to nominate
the person. Otherwise you can add someone.
And to nominate them, you just need to click the "Nominate" link at
the top of the window and fill out the form again. Best of luck
nominating. *g*

Imhiriel
Hi Imhiriel,
I think what I'm about to say is correct. I am not the programmer, and so I
may be misunderstanding or misremembering, but I hope in that case someone
will correct me. In any case it seems to work on the few things I just
typed.
If you go to the Users page and search for something, it will look for that
something in the usurer's name and also in the first half of their email
address. So searching for melayton would turn up me (my email address on the
site is melayton@gmail.com). Similarly searching for either Imhiriel or
Larys or Larys.HMF should turn you up. I suggested doing a search for the
first half of an email address because to add an author you need an email
address, and this is a quick way to find if the author has been already set
up under a different penname but with the same email address.

Hi Dreamflower
I just checked your account and see you have gmail.net rather than
gmail.com in the address. Could that be the reason why you're not
receiving any notification emails?
If you do need to change your email address, let me know and I'll ask
your liaison to resend the emails.
Perhaps you could also confirm which address you used to email
MEFAsupport that bounced. The correct one is mefasupport@gmail.com. Did
you send the email by clicking on a link at the MEFA site or from one of
the groups, or did you just enter it in your email program?

OK, I fixed the .com. Apparently I forgot to change that part. Anyway,
it's fixed now.
I don't remember which email address I used for MEFA support--I pasted the
one in that appeared in the link, where it said to suggest characters into
my email. At any rate, I will try to send it again, using the gmail
address.
Thanks.

Re: Nominations for autors who don't respond Posted by Marta June 07, 2007 - 0:22:44 Topic ID# 7894Hi Imhiriel,
I think you are thinking of 15 July (the last day stories can be nominated)
or 22 July (the last day authors have to get their stories ready to
compete). There's nothing special about 15 June/22 June.
If an author doesn't respond to emails from their liaison then they
obviously can't compete because we won't have their approval or all of the
information we need to place the story in a subcategory. We can't just
withdraw a story before that 22 July deadline once we've contacted the
author, because it's not fair to the author (they may read the email later
and want to compete). And by that 22 July deadline, nominations are closed
so you wouldn't be able to replace it. This means that if we never hear back
from an author you can't replace the nominations.
But we do everything we can to find authors. In about a week the other
volunteers and I will start compiling a "hard-to-reach" list of authors who
have not replied to any of the emails sent to them. And we'll paper the
fandom with that list. Usually there's *some*one out there who knows how to
reach the author. Liaisons also leave reviews at the story asking the author
to get in touch, try to find the author's blog, and generally do their best
to find the author. And the author usually is found. I think in 2006 there
were maybe six or seven nominations that were withdrawn because we never
heard from the author. That's out of more than 600 nominations, so we do
talk to almost every author nominated.
If an email actually bounces back to the liaison as undeliverable, or if the
author gets back and declines to compete, then the story will be withdrawn
and you'll be able to replace it with another nomination.
Hope that helps!
Marta

And I'm glad to see from Marta's response that you managed to contact

A NEW FAQ for Nominated Authors Posted by aure\_enteluva June 09, 2007 - 10:49:13 Topic ID# 7899Hey guys,
This is mainly for authors who have been nominated. Specifically, this
announcement is for people who have been nominated by themselves
(i.e., not self-nominations). If you have been nominated or know
someone who's been nominated, this announcement is for you.
Once you complete the form about your story, you need to email your
liaison. If you do not know who your liaison is you can email
mefasupport(at)gmail(dot)com. Basically we need an email from you
saying you approve your nomination.
A new FAQ explaining why you need to do this has been added to the
website.
Thanks,
Marta
http://www.mefawards.net/MEFA2007/index.php?page=FAQnominations#nom_16
Q: Someone else nominated my story, and I've completed the form. Why
do I need to email my liaison to let her know I'm satisfied with it?
A: Once your liaison marks your nomination as complete, the status
"author satisfied with form" disappears from the form. Without an
email from you, there is no record that you did in fact approve the
nomination. By sending us an email, we can make sure the nomination
process has been followed correctly by everyone involved.

Hey guys,
This year's awards are well underway, with lots of wonderful stories
already nominated. However, we're having a hard time reaching some of
the them. Perhaps you can help.
Below are a list of authors who have had stories nominated, but (at
the time I compiled this list) have not replied to any emails sent to
them. This often means that the email provided for that author is
wrong, or the message was filtered as spam. It's not, but since we're
talking about an awards program, some emails treat our messages as spam.
Here are the authors we haven't heard from:
Amebrindra
Amrumofthesouthcountry
Bewize
Bodldops
The Bookbinder's Daughter
Budgielover
Clairon
Cpsings4him
Ford_of_Bruinen
Illwynd
Istarnie
Lady of Ithilien
Le Rouret
Littlefish
Otto's Goat
Soubrettina
Space Weavil
Storyfish
Tehta
Yoru no Hime
If you know any of the authors below, please have them email
mefasupport(at)gmail(dot)com about their nominated stories. Also have
them add that address to the list of addresses their email "trusts"
(i.e., never treats as spam).
Authors, if you have replied to an email about these awards in the
last few days, everything is probably okay. It can take a day or two
for me to come up with this list and have it posted where you're
reading it. Still, it's probably best to email me at
mefasupport(at)gmail(dot)com to make sure everything is moving along.
Nominations are still being accepted through July 15. As long as
you're a member of this Yahoo group you can nominate up to twenty
pieces at http://www.mefawards.net/MEFA2007, either stories by
yourself or any other author of Tolkien fanfic. So do feel free to
nominate your favorite stories, and if you know how to reach any of
the above authors, please give them a nudge.

Thanks everyone, but Budgielover is accounted for now. She has been in contact with Llinos as of last night and will be responding just as soon as she can. She is just having trouble with computer access at the minute.

There, peeping among the cloud-wrack above a dark tor high up in the mountains, Sam saw a white star twinkle for a while. For like a shaft, clear and cold, the thought pierced him that in the end the Shadow was only a small and passing thing: there was light and high beauty forever beyond its reach.

Hello Nieiriel Raina and Fiondil,
Thanks for your willingness to help contact these authors. I see that Le
Rouret's nominations are now ready to go, and also that Budgielover has
finished her form. So I think we're good on them! But I appreciate the
offers.

Hi guys,
I replied to this post over at the Staff listserv, since it's about the
procedure of getting a nomination ready to compete. I don't want to bore
everyone. *g*
Basically, though, we *do* need some sort of note from every author that
they're happy with the form, before it can be allowed to compete.

I know Le Rouret from LJ and I know her RL has been very crazy lately. I left her a message at LJ, but haven't heard back from her yet.
I only know Budgielover from SoA as I've read several of her stories. I only have the email from SoA so if anyone has a better email, contact her.

characters, settings, time periods, etc. Posted by aure\_enteluva June 17, 2007 - 22:45:53 Topic ID# 7924Hey guys,
Some of you who have had your work nominated will have tried to select
characters, settings, time periods/events, and sub-genres/poetic forms
for your stories. To do this you can select one of several characters,
etc., that are already listed, or you can request a new choice be added.
When I came up with the lists of characters, etc., that people would
choose from I really underestimated just how diverse the Tolkien
fandom is. There are so many different characters, events, and all
other kinds of things that it is nearly impossible to anticipate
everything people will need. The problem is, the longer the list of
characters, etc., gets, the harder it gets to actually use this
information. So the other volunteers and myself are trying to walk a
fine line between giving authors what thy need to accurately reflect
their stories on the one hand, and having the information they enter
be easy to use by categorizers and readers on the other hand.
So far this year we have let through some pretty specific events. In
the future it would really help us if you'd take a hard look at the
characters, etc., that are already available before you ask us to add
a new one. I'm not saying we won't add any new ones because that's
unreasonable to authors who are just now being nominated. You may,
however, request a character, etc., that you think is no more specific
or obscure than what's already on the list, and the volunteers may
still say we can't add it. This may not be "fair", but we are not
trying to pick on you. Put simply, as the lists get longer and longer,
and as the volunteers get a better feel for the kind of characters,
etc., that people request, a request that once seemed reasonable may
now seem too specific.
It will be very helpful if you could try to use the lists and
especially the time periods/events that are already listed. If we need
to add something we will, but I'd rather minimize how much of that we
do from here on out.
Thanks for your cooperation! I really appreciate it.

people to seek him out--although I had to give it a try.
However, I do think that the "places" category should include
"widespread travel" because little of Tolkien's own writing could
have been boiled down to a few settings. The second half of my story
is clearly set in Mordor, but the first is definitely a road-trip,
and I cannot be the only one.

Illwynd has been out of town on vacation the past few weeks. She told me
this when I nominated her story. She promised to fill in the nomination
forms when she got back from vacation. I'll follow up with her in a few

Hi Steff,
Illwynd actually began her form, so I'm sure she'll finish it soon. Authors
have until July 22 to finish all of their nominations and I certainly don't
mind them taking all that time if they need it. However, often authors don't
know they've been nominated, and I don't want them to feel any moe rushed
than they have to be. That's why I want to make sure authors know they're
nominated ASAP after they've actually *been* nominated.
If an author knows they've been nominated but is busy and wants to do the
form later, it would be great if they sent a quick email to their liaison or
mefaupport(at)gmail(dot)com. That way we would know they knew they'd been
nominated, so they won't get a lot of people pressuring them to finish their
form.

Question from a first-time participant Posted by linaewen0 June 18, 2007 - 18:24:29 Topic ID# 7929I've been searching the FAQ's for an answer to a question, and I'm not
finding it, so here I am.
In looking at the stories nominated for voting, I see in the Actions
column that there are several choices to click on, being Skip, Wait and
Enter New Review. Enter New Review is self-explanatory, but I am
wondering what Skip and Wait are for and when should I use them, if
ever? I am afraid to try them, for fear I will nix my option for
entering a review on a story. ;-)
Thanks for the help!

Re: Question from a first-time participant Posted by Arthur Boccaccio June 18, 2007 - 18:45:43 Topic ID# 7929Ah, another newbie. You could ask your liaison about this (that's what I
ended up doing) but here are the explanations I was given:
*LIST:* You can put stories you're interested in reviewing in a Wish List by
clicking on the blue word WISH on the right side of the screen in each
story. Later you can find those stories again by going to the top of the
page and clicking on the SHOW FILTER link. Pull down the box that says
'Review Status' and select WISH and hit Display Selected Nominations. All
of the stories you've saved in your Wish List will come up.
*SKIP:* You use it to eliminate stories that you aren't interested in
reading from your list. For example, there are about 370 stories in the
database right now and about 56 of them are fixed-length ficlets. I know
because I did a search for those and that's how many popped up. I'm not
fond of drabbles and probably won't read many of those. I will read ones
that my friends wrote .... So, I went down that list and clicked skip on
all of the true drabbles and any other short story there (those are all less
than 500 words) that didn't appeal to me. I probably eliminated about 35
stories. Now, the next time I go in to look at the list of stories, those
stories won't show up on my list. I can go and look at those later by using
the filter, but I doubt I'll need to. When I have some free time - HA -
I'll go in and get rid of a bunch of other stories that I know I won't
read.
I hope this will help. I know it helped me tremendously. I have suggested
that MEFA.admin create a NEWBIE FAQ with an explanation of all the buttons
and such. It would make life easier for those of us who are first time
nominees.

Re: Question from a first-time participant Posted by Liz Warren June 18, 2007 - 18:51:57 Topic ID# 7929Hi Linaewen
Shamelessly borrowing from Rhapsody's excellent answer from last year:
Skip and Wish are nifty features to make reading lists for yourself. For
example, if you see a story that appeals to you, you can click on Wish,
and it will be added to your wish-list. Then, if you go to the Browse
Nominated Stories page and select "Wish" in the drop down for Review
Status on the filter, you can see all the stories you added to your
wish-list.
But if you see stories that don't appeal to you, you can click on skip
and the stories will "disappear" from the lists you see on the Browse
Nominated Stories page. You can still see those stories (and still
review them) by selecting "Skip" in the drop down for Review Status on
the filter.

(Hmm, I definitely think we need a FAQs for reviewers....)

Is there anyway that I can see the stories I have already reviewed?
Many thanks!

Many thanks!

There sure is.
1. Log in to http://www.mefawards.net/MEFA2007/
2. Click on the "Browse Nominated Stories" link.
3. Do you see a list of filters? (Story Type, Author, etc.) If not,
click the "Show Filter" link.
4. From the "Review Status" link click "All Reviews".
5. Click the "Display selected nominations" button.
This will show you all the stories you've reviewed. You can also display
all the ones you've entered a certain type of review (Final, Hidden, or
Draft) by selecting that option at step 4.
