Hey guys,

As some of you may have already heard, the StoriesofArda website has
been hit by hackers. Our thoughts (and gratitude!) are with Nilmandra
and the other SOA admins as they deal with this attack.

The other MEFA volunteers and myself have been discussing how best to
deal with this situation, from the MEFA perspective. Obviously many of
our nominations are hosted at StoriesofArda; it's a large and popular
site! The StoriesofArda website has been taken down while that site's
administrators deal with the situation. I know that they're working
hard to get the site back up as quickly as possible, and hope that
this will quickly become a non-issue – perhaps even before some of you
read this message.

In the mean time, this may affect those of you already voting (good
for you!), and also those of you who'd like to nominate stories
archived at SOA.

VOTERS:

If you click on a link to a story posted at StoriesofArda, the MEFA
website will treat this like any other link; but since the SOA website
is down, the website won't be able to display the story. You'll get an
error message saying the site is unavailable or something like that.
This really isn't a situation the MEFAs can fix, so it doesn't need to
be reported to our technical support people. SOA knows about the
problem and they're doing everything they can to fix it as soon as
possible, so you don't need to report it to them either.

The best solution here is patience. If this happens to you, you can
come back in a few days and read it at SOA then, when hopefully that
website will be back up. Remember, the wish list is your friend! Just
put the story on your wish list and you'll be able to find it more
easily later. Alternately, if you know where the story is posted
elsewhere, you can read it there and review that story.

NOMINATORS:

I know that you guys are facing a deadline and may want to nominate a
story posted at SOA by our June 15 deadline. I hope SOA will be back
up in a few days. In the mean time, you can nominate the story using
another eligible URL where the story is posted. If the story is not
posted anywhere else, please email me at
mefasupport(.at.)mefawards(.dot.)net to discuss the situation. But do
so ASAP, as we'll need to get things straightened out in time for you
to nominate it before June 15 – less than two weeks from now.

Remember, eligible URLs:

--- provide a clear way to get from one page to the other if the story
is posted on more than one page

Regarding SoA--Nilmandra is trying alternate access addresses to the
Stories of Arda website, and has two of them up. If the hacker
continues causing problems then they will be able hopefully to use one
of the two alternate addresses currently being tested, and it would
take but a global find-and-replace to the database to get the links
fixed. I tried both alternate addresses, and both worked.

Thanks for the update, Marta. I had no idea why I couldn't get onto
SoA today.
If we want to replace the URL in our nominated stories, can we do it
ourselves or do you have to do it? I'd love to save you the trouble if
I can, but since I've submitted my nomination forms already, I don't
know if I can alter them.

it looks like the website is intact, but they had to change the address of the site. The site still looks the same and everything, just a different URL to get there.

I guess that means changing all our URL's at MEFA, right?

Just FYI - the site has been under attack, but they have been 100%
UN-successful. They're just annoying the heck out of us.

If you get an error message, let me know. A lot of very tight code to
prevent hacking has been added recently that could get you a 'You cannot
Pass!' error, and it is possible there might be hard coded pages looking for
the www in the address, which will give you a dead page. Send me a private
email, please, with a screen shot or all the detail you can provide about
what error you received. Screen shots are best, make sure we can see the
URL.

I just tried to review a MEFA-nominated story that is posted on SoA.
At first, the link took me to a dead page, as Marta mentioned might
happen, but, having read Nilmandra's message about the alternate URLs,
I just went up to the URL and deleted "www" and I immediately got to
the story.

I suppose that if SoA isn't fully operational in a few days, somebody
will have to update all those MEFA links, but until then (and
hopefully it won't come to that!), reviewers can still get to stories.

Hi PipMer,

I'm very glad that the SOA website looks like it is still intact. Quite
aside from MEFA concerns, the SOA is a great site and I'd hate to see
anything happening to it.

Yes, the links will need to be changed - but I have just been informed
by Tanaqui that she can change all the URLs pretty easily. It's kind of
like doing a "replace all" in your word processor, where you tell it to
replace every place a certain string of characters appears with another
string of characters.

So we'll (by which I mean she'll *g*) be able to fix this. You guys
shouldn't have to do anything. Huzzah for talented volunteers!

Hi Viv,

Nilmandra and her team have been just wonderful through this whole
incident. They've worked quickly and professionally and put together a
solution in great time. And an easy one - like you say, just trim the
"www" from the URL.

Tanaqui also informs me that she can change the MEFA links easily, too,
so I think she'll be handling that.

Btw, our team has been great, too. Several of our liaisons have been
keeping me up to date on what's happening with SOA and have proposed
solutions and responded quickly to my suggestions. And of course Tanaqui
has come up with some easy ways to fix the situation.

Really, I've been very impressed with both SOA and MEFA volunteers (and
everyone here as well) throughout this whole thing. We have a week and
change left before nominations close. If people had panicked or just not
replied as quickly, we may have had to extend nominations, which would
have made things much more difficult. Thanks, everyone, for keeping a
level head.

So the SoA site has been hacked--and the changes that have been made
are one of many ways the site is being protected at the moment. An
inconvenience for MEFA links, but a necessary one.

It really depends on the "stage" of completion of the story. If you can
still edit the story form you filled out about your nomination, you
can go in and change the form yourself. Just replace the "Story URL"
with whatever you want the website to point to.

However, there comes a point where authors can't edit those forms
anymore. I think it's when they select "Author satisfied with form" as
the status of their nomination. If you can't edit the links, then your
liaison or me myself can edit the information for you.

the www in the address, which will give you a dead page. Send me a private
email, please, with a screen shot or all the detail you can provide about
what error you received. Screen shots are best, make sure we can see the
URL.

Hey guys,

[Sorry this is a day late; I completely forgot to do my weekly
educational post yesterday.]

This week I want to talk about one of the topics that tends to confuse
people the most: how we sort stories into categories and subcategories.
With many awards programs stories are nominated specifically for some
grouping - Best Vignette, Best Slash, Best Ft. Aragorn, whatever. The
person nominating the story nominates it for one of these categories,
and then the nominated stories receive votes and are ranked within those
categories.

That's not quite how it works with the MEFAs. The nominator only tells
us the title, author, and a link where the story can be found. The
author supplies all the rest of the information. You're not telling us
that this is one of the best stories of a certain type, but rather that
it's one of the best story (period!) that you've read, at least since
the last year's awards.

The author then provides the information we use to sort the nominations
into manageable categories and subcategories. They give us three
important pieces of information:

1. Three main category choices.

2. The "type" of the story - that it's either a fixed-length ficlet;
poem; work-in-progress; or full-length, finished story.

3. Some basic information about the story that we can use to divide
larger categories into sub-categories: the characters involved, the
story's setting, pertinent canonical events/time periods, and any
sub-genres it fits.

Now, you may be wondering how we take these three pieces of information
and use it to assign stories to categories and subcategories. We start
by placing each piece into its first-choice main category. We then
divide each main category into the four types mentioned above: story,
FLF, WIP, and poetry. We look to see if there are enough pieces of each
type in a certain main category for those stories to compete together in
that main category.

If there are enough pieces, we have a sub-category. For instance, if
there are seven WIPs who all chose "Races: Men" as their first category
choice, then they'll compete in the subcategory "Races: Men:
Incomplete." If there *aren't* enough pieces for that subcategory to be
big enough (in MEFA terminology: viable), then we'll look at moving
stories around.

If there are nearly enough pieces, we may move pieces into that category
to try to make the subcategory viable. If there's only one or two pieces
of a certain type in a main category at this point, we'll likely move
them to their second or third choice category.

Maybe an example will make things clearer. Say that instead of the seven
WIPs with Men as their first-choice category, there were only four.
That's not quite enough for a viable "Races: Men: Incomplete"
subcategory, but it's enough to make me think that we could maybe make
the subcategory work with a little elbow grease. At this point I would
look for other main categories that either had a lot of
works-in-progress, or had so few I knew it would be nearly impossible to
set up an "Incomplete" subcategory for that category. I'd look to see if
any of those nominations had "Races: Men" as a second choice, and if so,
I'd move them into the "Races: Men" category. That way I could collect
enough stories so we could have a "Races: Men: Incomplete" subcategory.

Eventually we would sort things so that each nomination was in one of
its three category choices where there were enough other pieces of the
same type so that that could compete together. In other words, each
nomination is in a subcategory that's not too small. But some of them
may be too big! Last year there were twenty-nine fixed-length ficlets
that ended up in the "Races: Men" main category, and only nine in
"Races: Hobbits." This is probably just because there happened to be
more Men FLF than Hobbits FLF nominated that year. Or maybe authors of
hobbit-centric FLF chose other main categories as their first choice,
like Genres: Humor or Times: Late Third Age. For whatever reason, there
were over three times as many fixed-length ficlets in Races: Men than
there were in Races: Hobbits. Which means that (if we'd let this
situation stand) there would have been a lot fiercer competition in
Races: Men than there were in Races: Hobbits.

This is where that third type of information I mentioned earlier comes
in: the characters, settings, and so on. If there are a lot of
nominations of a certain story type (FLF, story, WIP, or poetry) in the
same main category, we'll divide them up based on character. Or
subgenre, or setting, or something along those lines. This means that
for each story type, some main categories will only have one main
category, where all of the (for instance) WIPs in that main category
compete together. But sometimes there will be enough that there will be
more than one subcategory for the same type of story, and we'll use some
other factor to divy up the stories. In the Races: Men example, they
were split into Gondor Drabbles, General Drabbles, and Other
Fixed-Length Ficlets (for longer FLFs and FLF series). By doing this, we
were able to come up with some subcategories for those Races: Men
fixed-length ficlets that were about the same size as the sub-category
in Races: Hobbits, even though there were a lot more FLFs in the Races:
Men main category than in the Races: Hobbits one.

So... that's how categories and subcategories work. If you have any

Authors, when you are logged in, you will see a link beside your reviews
to "Reply to Reviewer." Clicking that link will open up a pop-up window
that will give you instructions how to reply to reviews. Essentially you
will write up a review and email it to me (using a special subject line
the site generates for you so I know exactly where to send it). I'll
skim the review to make sure it's not a spam or a flame, and if
everything's kosher I'll forward it on to the reviewer.

When you do this the reviewer will get your email address, so they can
reply back (if they choose to do so). I won't tell you a reviewer's
email address because I take member privacy seriously, but if they
choose to reply back, obviously you'll get their email address from them.

is fine. However, to keep the awards fair, it is against the rules to
actually ask people to vote for you - what we call vote solicitation. If
you ask current members to vote for a story (yours or someone else's),
or if you ask people to join the awards specifically to vote for a
certain story, that's vote solicitation.

The first time this happens we'll give you a warning. It really is
tempting to do, and you may not even be aware of the rule when you first
join the awards. If you're contacted by a MEFA volunteer asking you to
remove a comment, please do so.

There are penalties if you continue to do this, or if you refuse to take
down an inappropriate comment when asked to do so. These include having
your story withdrawn and/or losing your voting/nominating privileges. If
you're unsure of whether a comment would be crossing the line, feel free

I am just curious as to how that differs from posting those Nomination
Banners?

I do understand that recommending fics on one's website is a no-no (although
I wish it were not, since I'm big on expressing my opinion. As everyone who
knows me knows.) But putting a big splashy banner on all one's nominated
stories seems to be a plea for a vote at least the same or more so to me (except
you can only recommend your own that way and not those of others).

That's actually a good question; I'm glad you asked.

A banner (or just telling people that you've been nominated) is kind of
like a personal squee. It's an author being excited --and rightly so--
that they've been nominated. It may draw attention to a story, but it
doesn't actually tell people to go vote for it. And there's the difference.

Actually asking people to go vote for you... that feels more coercive
somehow. Even if the author doesn't intend it that way (and I'm sure
most don't), it asks the author's friends to go vote for a particular

After I sent my last email I thought of something else. You say that
"recommending fics on one's website is a no-no" - which may be where
some of the confusion comes in.

Not every recommendation you write up would be against the rules. You
know that I fairly regularly write up fic recommendations in my blog. It
also shouldn't surprise you that most of my fanfic reading during the
half-year or so that the MEFAs are going on is devoted to stories
nominated in the MEFAs. (Not all, but most.) So it shouldn't surprise
you that many of the stories I rec in my blog happen to be nominated in
that year's MEFAs - not because I'm trying to get them more votes, but
because I (like you) like to share my opinion, and because those are the
stories I'm doing the most time reading.

I'm careful not to suggest that people run over and vote for those
stories. I don't even mention that they're in the MEFAs. (And not every
story I rec is a MEFA story, since I *do* make time for some non-MEFA
reading.) I actually discussed with the volunteers whether it was okay
to do this because I wanted to make sure I wasn't breaking the rule
without meaning to. And the decision was pretty much unanimous: as long
as I didn't ask people to vote for the stories, it wasn't vote
solicitation. Ergo, it was fine for me to write those reviews.

Remember what I said earlier:

"* Telling people to go vote for those stories = bad."

If you aren't asking anyone to go vote for a specific story, you're
probably okay. If you want to be sure, I'm happy to look at whatever
you'd like to post and tell you if it's okay or not. But really, so long
as you stay away from asking for votes, it's probably not vote solicitation.

So go ahead and share your opinion! I don't want to suck the fun out of
the awards - I just want to keep them as fair as possible, while letting
people get excited at the same time.

the off-season and was planning on trying to put up some recs of my current
newly-discovered favorites before the nominations started and I missed my
personal deadline.

Sorry you were confused! Just to be clear: as long as you don't actually
tell people to go vote in the MEFAs for those stories, you should be
fine to rec them. Go spread the joy, whenever you get around to it.

I see that the links to this year's nominated stories have all been replaced... kudos to whoever did that, and so quickly! My question is... what about the archived stories? Is there a way for them to be replaced as well?

Authors, when you are logged in, you will see a link beside your reviews
to "Reply to Reviewer." Clicking that link will open up a pop-up window
that will give you instructions how to reply to reviews. Essentially you
will write up a review and email it to me (using a special subject line
the site generates for you so I know exactly where to send it). I'll
skim the review to make sure it's not a spam or a flame, and if
everything's kosher I'll forward it on to the reviewer.

When you do this the reviewer will get your email address, so they can
reply back (if they choose to do so). I won't tell you a reviewer's
email address because I take member privacy seriously, but if they
choose to reply back, obviously you'll get their email address from them.

It is natural when you are first nominated to want to tell people. This
is fine. However, to keep the awards fair, it is against the rules to
actually ask people to vote for you - what we call vote solicitation. If
you ask current members to vote for a story (yours or someone else's),
or if you ask people to join the awards specifically to vote for a
certain story, that's vote solicitation.

The first time this happens we'll give you a warning. It really is
tempting to do, and you may not even be aware of the rule when you first
join the awards. If you're contacted by a MEFA volunteer asking you to
remove a comment, please do so.

There are penalties if you continue to do this, or if you refuse to take
down an inappropriate comment when asked to do so. These include having
your story withdrawn and/or losing your voting/nominating privileges. If
you're unsure of whether a comment would be crossing the line, feel free
to email mefasupport(.at.)mefawards(.dot.)net to discuss it.

I don't know that we "have" an official standard, but I don't see any
problem with you taking more than one banner if you have more than one
piece nominated. Help yourself!

Hi Ruth,

Thanks for dropping AprilKat an email. And also, thanks for the
suggestion about LJs. I know I used them a lot when I was a liaison (I
have had to step back from that so I could focus on other things that
need doing), but different volunteers think first to try to contact
authors in different ways. I'll pass along the LJ suggestion in case she
hasn't already tried that.

The SOA website was the subject of a hacker attack. An unsuccessful one,
but to improve the situation that site's maintainers changed their URL
address.

authors. I want to nominate a story by Elderberry Wine, and she's not
on the list. I click on the required spot, and up comes a form to
enter new author information. I enter her nickname, and her email, and
then hit save. It never goes forward from there, but keeps me at that
spot, and never lets me go back to fill in what story I want to
nominate for her.

Sorry about that - there was a conflict between the code on the New
Author Form and the code for Reviewer Recognition/MEFA Junkie. (We
introduced MEFA Junkie last year after Nomination season closed, when
people could no longer see the link to add new authors, hence me not
spotting the issue last year.)

Anyway, it should be fixed, and you should now be able to add Elderberry
Wine as a new author. Let me know if you're still having problems.

This is just to let you know that, following the successful move of
Stories of Arda to its new host, I've switched all the links at the
MEFA2008 site and MEFA Archive back to pointing at www.storiesofarda.com.

If you can't see the site when you click on the links, your ISP has
probably not picked up the change yet and updated its records - this can
take a day or two. (Editing the www out of the address manually may let
you still see the site.)

Well done to Nilmandra and Rorrah for getting the site sorted out so

Hello :) I have another question.

I may be jumping the gun, but I thought I would ask now since the end
of the nomination period is fast approaching.

I nominated three stories yesterday, and one of them still
says "nomination submitted by nominator". The other two say "email sent
to author". Just wondering if there's a glitch that is stopping the
other email from going out, or if I'm just being impatient ;)

The author is Shirebound, and the title of the story is "PIppin's
Secret".

This is a good question, and I'm glad you asked it. When a story is
nominated, the liaison (the volunteer assigned to that author) checks it
for a few things, to make sure it is eligible before they contact the
author. Like, whether the link provided requires a reader to log in, and
whether the story has competed in a previous year - that kind of thing.

The upshot is, an actual person has to sit down at his or her computer
and look over things before the email is sent out. Since our volunteers
live around the globe and have different schedules they do their MEFA
work at different times. And since different authors are assigned to
different authors, those ones that still have the "nomination submitted
by nominator" probably are assigned to a volunteer who just hasn't had a
chance to sort through them.

Since it's only been a day I wouldn't worry too much. :-) But thanks for
asking, as other people might have had a similar question.

We're the same person and we want to nominate a story, but we are
having difficulties because of our clashing identities. What do we do
about this and how do we go about nominating a story?

Hi Lauderdale,

You've just done everything you needed to do.

In an ideal world, every different member of this Yahoo group should
have an ID that allows them to vote and nominate stories at the
mefawards.net website. But I think at some point we decided to clear out
the database so we could be sure we had the most up-to-date email
addresses for all our authors; and because of that some of the long-term
MEFAwards members who hadn't been active in a while lost their accounts.

That's why someone was able to create the new "AuthorThe Lauderdale"
account when they wanted to nominate your story. If your "mvoltfan" ID
had been registered with the website, they would have been forced to
nominate you under that account.

No worries, though. What I've done is told the website that "AuthorThe
Lauderdale" is a member of this Yahoo group, and should be allowed to
nominate stories.

Go ahead and log in to

www.mefawards.net/MEFA2008/

with the same password you used to handle your stories that were
nominated. You should now see links at the top of the page to nominate a
story (by an author other than yourself), and to self-nominate one of
your own stories. Click on the appropriate link, fill out the form, and
submit it. That will let you nominate pieces by yourself or other authors.

I'll have internet access or the time to do much even if I do.

Just to add a note to this, I will be away from my computer all day
Saturday, so any emails that come in to mefasupport that day won't be
answered until Sunday. Otherwise I'll check the account several times
a day until Marta's return.

As we're nearing the end of our nominations, I wanted to do this week's
informative email on what authors need to do in the next week (if they
haven't already). I know that not everyone here is an author; but if you
nominated someone and know them, perhaps you can point them to this post.

Nominations close on Sunday, June 15, at 11:59 PM GMT. To figure out
what this is in local time, go to www.mefawards.net/MEFA2008/ and look
in the bottom left corner. Compare the "page served at: " time to your
local time; this will tell you the hours that you are ahead of or behind
GMT, as the timestamp displayed is the current time when that page was
loaded.

Authors have another week after nominations close to give the final
approval for each of their nominations. This includes:

--- completing the form about their nomination and giving it the status
"Author satisfied with form"; and
--- emailing your liaison to say you are satisfied with the form.

If you do not know your liaison's email, send your email saying you're
satisfied to mefasupport(.at.)mefawards(.dot.)net.

Authors often are unsure how to fill out their form. If you do not know
how, this is how you do it:

1. Log in to www.mefawards.net/MEFA2008 using the username and password
sent to you.
2. Click on the "View Your Nominated Stories" link.
3. Click the "Edit Data" link.
4. Fill out the questions on the page.
5. At the bottom of the page select the appropriate status: "Author
satisfied with form" if you are done with it and ready for your liaison
to check over it for you; "author has begun but not finished form" if
you'd like to come back to it later.
6. Click the appropriate button - "Submit completed form" if you're
done, "submit partial form" otherwise.

Now your form is saved. If you're done, go ahead and email your liaison
so she knows to look over your work.

Every year, one of the most confusing things for new members is getting
passwords. Some people receive their passwords, no problem. However, if
you aren't sure what your password is, here are some steps to take:

--- Check your email's spam folder. It may be that the email containing
your password was treated as spam.

--- Go to www.mefawards.net/MEFA2008/ and click the "Forgotten
password?" link. This will allow you to resend your password to
yourself. (You have to enter the email address which you were nominated
under.)

--- If you still have trouble, post here and someone can look into it
for you.

Once you email your liaison that you are finished with the form, she
will look over the form to see that everything is correct. Your
nomination will then be given the status "Nomination approved by
liaison" and passed on to yours truly. I give all nominations a final
check-over and, assuming there are no problems, finalize the nomination.
If there *are* problems I will send a message to your liaison who will
in turn pass it along to you, letting you know what to fix. In this case
I'll reset the status to "Author has begun but not finished form."

Statuses are important because they show up on the website. If you log
in to the website and click on "Browse all nominated stories," you will
see the status in the right column. It's the italicised text under the
"Enter New Review" link.

To summarize, here are what the usual statuses mean after you've
submitted your form:

--- Author satisfied with form: you have finished the form, but your
liaison has probably not had a chance to look over it. If it stays like
this for a few days you may want to resend your email saying you were
satisfied with the form, in case your liaison didn't receive it.

--- Nomination approved by liaison: The liaison has approved the form
and passed it along to me for final approval.

--- Nomination Finalized: The ultimate goal. This is the status you see
when I've finalized the nomination.

things. Either you have not finished the form; or your liaison or myself
found an error that needs to be fixed before it can be finalized.

Once your story has that "Nomination Finalized" status, you know your
nomination is ready to compete. You don't need to do anything else.

You have a week after nominations close to finish up your forms. I tell
authors to be done by June 21 (the Saturday after nominations close).
This way you don't run into any problems with misunderstanding time
zones, and if there's a small tweak that needs to be made, you can still
do that. Obviously the sooner you are done the more time you have to
make changes, which is a good thing.

tomorrow until Wednesday. Inkling will answer the mefasupport email
address in the mean time, but any nominations you complete the forms for
will not be looked at until that time.

Nominations for the 2008 MEFAs have now closed, and no more stories can
be nominated this year.

All authors are currently being emailed to let them know which of their
stories have been nominated, which nominations have been finalised, and
which they still need to do some work on. I hope to get all of these
emails sent today, but nearly 220 authors have been nominated so it will
take me a while!

Authors have one more week after nominations close to give the final
approval for each of their nominations. This includes:

--- completing the form about their nomination and giving it the status
"Author satisfied with form"; and
--- emailing your liaison to say you are satisfied with the form.

You must do this before the END OF 21 JUNE 2008, or your story will be
withdrawn and will not be able to compete this year.

Full details of how to finalise your nomination can be found in Marta's
post last week at http://groups.yahoo.com/group/MEFAwards/message/8994.

Once all nominations have been finalized, we will begin categorising
stories into the award categories in which they will compete. More on
that soon (or check out the FAQs at the MEFA site).

When I was fixing something else a few days back, I managed to introduce
a new bug into the code for setting reviewer recognition (MEFA Junkie)
targets that was preventing it from saving targets when users entered
them. *facepalm*

their target number of reviews can now do so!

A number of people have reported problems logging into the banner site
with the details provided in the reminder emails sent out yesterday.

Unfortunately, only Marta has admin access to the banner site, so I'm
afraid we can't sort this out until she returns in a couple of days time.

I can whip up some 110 x 70 ones tonight and send them over to Fiondil. It's probably better to have banners that were made at that size rather than shrunk from a larger size (the type gets especially squashed when you shrink).

Is that 110 by 70 px limit on OSA Vertical or horizontal format, Or can it be either way? If you are interested in one of the banners that I have done, I can probably play around with them to fit the new format and still keep them legible by animating the text if that is allowed on OSA ... all I need to know is if OSA will let you post ".gif" format instead of j-peg on that since the animations have to be .gif format to work.

Can you email me at mefasupport(.at.)mefawards(.dot.)net, with the story
information (ID # or author/title), the warning you'd like added, and
why you feel it should be added? For instance, give me a link to the
chapter or describe the situation you feel warrants the rating. I'll
talk with the author and look into getting the warning added ASAP.

To find out who made a specific banner, just click on the individual banner and you will get more info including the artist etc.... Hi Cactuskim,

*Some* reviews can be seen before the end of the awards, but not all of
them, and not yet.

Final reviews will begin to be visible sometime in July - I think it's
right about the time the categories and subcategories are set in stone,
though I can't remember when the exact date is. Hopefully another
volunteer with better memory than mine can be more precise on that
front. At that point, you won't be able to edit your final reviews. So
you want to only use Final status for reviews you're really satisfied with.

Hidden reviews stay (as their name suggests!) hidden until the end of
the awards, but at the end of the awards those reviews will be displayed
to all members. Whatever you have entered at the end of the awards,
that's what will be counted for scoring purposes.

Draft reviews are never displayed and never counted. They're a good way
to keep track of notes as you're reading, but be careful with this
because if you write an actual review as "draft" and forget to change it
over to hidden or final, it won't be counted.

So yeah, to answer your question, some reviews will be displayed while
the awards are going on. They aren't yet, though. When they become
visible you will see links when you log in to read all of the available
reviews.

Hi Cactuskim,

*Some* reviews can be seen before the end of the awards, but not all of
them, and not yet.

Final reviews will begin to be visible sometime in July - I think it's
right about the time the categories and subcategories are set in stone,
though I can't remember when the exact date is. Hopefully another
volunteer with better memory than mine can be more precise on that
front. At that point, you won't be able to edit your final reviews. So
you want to only use Final status for reviews you're really satisfied with.

Hidden reviews stay (as their name suggests!) hidden until the end of
the awards, but at the end of the awards those reviews will be displayed
to all members. Whatever you have entered at the end of the awards,
that's what will be counted for scoring purposes.

Draft reviews are never displayed and never counted. They're a good way
to keep track of notes as you're reading, but be careful with this
because if you write an actual review as "draft" and forget to change it
over to hidden or final, it won't be counted.

So yeah, to answer your question, some reviews will be displayed while
the awards are going on. They aren't yet, though. When they become
visible you will see links when you log in to read all of the available
reviews.

Our founder, Ainaechoiriel, used to refer to volunteers as participants
who were insufficiently reluctnat. And as we're coming to the end of
nominations, I want to recognize a few groups that have really gone
above and beyond the call of duty.

BANNER MAKERS

We have several very talented artists who have created (and are still
creating) banners for these awards. There are to date 114 banners for
nominated authors, 39 for people who meet their reviewing goal, and 338
for story winners. And as I said, they are still working on the latter
two types of banners and buttons. These banners were created by

In addition, Beruthiel's Cat and Fiondil have really helped to organize
this portion of the awards. My thanks to all of you.

When there was a concern about what a story should be rated or whether a
warning was appropriate, the ratings panel was the team that looked at
the story and gave me their opinion. Their time commitment and their
willingness to read stuff that might not generally appeal to them allows
us to implement our ratings policies in a fair manner. The ratings panel

--- Sulriel

(with annmarwalk willing to serve as an alternate if needed)

Our two very talented and devoted webmasters have put in a serious
amount of effort into improvements to this year's website (some of which
you haven't even seen yet! But they're coming). They've also helped fix
site problems and have served as technical advisors to the liaison team
as we used the site. This is in addition to helping out with special
projects that have come up. The two members of tech support are

SPECIAL PROJECTS

Agape4Gondor, Inkling, and Tanaqui really stepped up to the plate when I
was out of town last weekend. Inkling and Agape answered questions at
the support address and this Yahoo group respectively; and Tanaqui sent
out an email to every nominated author.

Elliska processed new memberships - meaning that when you join this
group, she's the one that sets you up an account at the MEFA2008
website. That's a lot of work in itself, but she also investigates
online to try to catch people with more than one name, so they only have
one account. This is on top of also being a liaison with a lot of
authors to help.

Radbooks served as welcome manager this year, which means she answered
questions from new members to the site.

Annmarwalk has agreed to post votes as they become available to this
Yahoo group and to the mefas community.

And for those of you curious as to what I've been doing, I've been
trying to be a jack-of-all trades. I gave nominations a final check-over
before approving them; answered questions that came up; and have been
trying to educate the members about different aspects of the awards
through announcements.

I hope I haven't forgotten anyone, though with such a large group of
volunteers I always seem to overlook someone. It is not an intentional
slight against anyone, and I am always very sorry when I do.

In any event - thanks to all of the many volunteers, named and otherwise!

her name.... so I'm going to do it here. And I want to take the moment to
publicly thank all FIVE (or six if we include you Marta *grin*) banner
makers for their excellent work. They have all done a great job at creating
interesting banners for all story types (Silmarillion writers please take
note of the many wonderful Silmarillion-based banners that we have to offer
this year) and being very creative (Kim's animated banners are so cool).

I also want to thank Beruthiel's Cat for helping me out when I needed it
most. Without her, most of these banners would still not be up.

enjoyed the MEFAs since I learned of them several years ago; they improve

Hi Barbara,

I feel the need to give Tanaqui and Aranel most of the credit for the
quantum leap. They have made some really awesome changes to the website;
I pretty much have been doing what I've always been doing! But have
perhaps been doing it more affectively because of some tools they gave
me (like a tool that makes it worlds easier to post hard-to-reach
authors' lists).

Fiondil has also done a really spectacular job organizing the banner
makers; I always thought we had such nice banners, but this year hey are
really outdoing themselves.

In any event, thank you! I'm glad you've found the awards so much easier
and better this year.

You are right, I forgot to mention that! Pearl and Dawn wrote a "MEFA
New Members' Guide", affectionately called among the volunteers as "MEFA
for Dummies" when we were writing it (*not* because new members are
dummies, but because the style was patterned after the "... for Dummies"
books).

Hi All

I just wanted to let everyone know that I've made some minor updates to
the home page on the MEFA site. so that the features you'll all be using
more now that nomination season is over have been shifted nearer the top
of the page. However, everything that was on there before is still there
- you can now find links to view the stories you've had nominated or
nominated near the bottom of the page .

I've also updated the Volunteers page. These awards rely on a lot of
hard work by a huge number of amazing people, and you can see the full

Hey guys,

With all the othr stuff going on this week (tying up loose ends with
nominations + a bit of a busy RL), I completely forgot to post my weekly
educational feature on Thursday. So I'm going to do that now, and will
post another educational post in a few days (what I had scheduled for
this week).

Anyway - I want to talk a little about what is affectionately called
among the volunteers your "junkie" status - as in whether you're a
review junkie or not. :-) Basically, you can tell the website that you
intend to review a certain number of stories, and if you do reach your
goal you get a special graphic to advertise this fact, and are mentioned
on the website.

Some people love this feature (I count myself in this camp), whereas
other people prefer not to use it. Personally, I feel that it's very
helpful in setting goals for myself, but other people may prefer
something less structured. This is not something any reviewer has to do,
and so just because someone is not on the list of commended reviewers
doesn't mean that they have been a bad reviewer; they may have just
opted not to use this feature.

If you *would* like to use this feature, here are some things you may
like to know:

SETTING YOUR REVIEWING TARGET

The first thing you need to do is decide how many reviews you'd like to
write. You must choose at least 10, but you can choose any number you
like. I think it's good to choose an amount that's a little more than
you did last year, though if you're busier this year than last year you
may choose to select a lower target goal.

Once you've decided on a number, you need to tell the website what you'd
like your goal to be. Just log in to www.mefawards.net/MEFA2008/ and you
will see a new option inviting you to enter or change your reviewing
target. Click on the link and enter your review target, and click
"Save." Your target has been saved, though you may need to log out and
back in for the website to display this fact.

For the record, I set the goal of 50 reviews. Last year I think I aimed
for 100, but I'm starting a new doctoral program and so expect to have
less reviewing time in the fall than I did last year.

WHEN TO SET YOUR TARGET

You can only enter and change your reviewing goal for a few weeks after
nominations closed. This is because the point of the junkie status is to
help you set goals in your reviewing, and it would mean less if anyone
could just lower their target close to the end of the awards. This way
you know that people who display the reviewer button set a goal and met it.

You must set your goal by June 30; and after that time, you will not be
able to edit any goal you set.

WHAT REVIEWS ARE COUNTED

When determining whether or not you've met your reviewing goal, the
website counts the same reviews that "count" for the authors. Draft
reviews do not give the author points unless their status is changed to
"hidden" or "final"; similarly, they do not count toward your reviewing
goal.

That means that when I said I would review 50 stories, the website
interprets that as me saying I will enter fifty hidden or final reviews.

This is the only thing the website looks at. If you entered votes during
nomination season (before you set your target) and those reviews were
hidden or final, they'll count. The website also doesn't consider the
length of your reviews, how many authors you've reviewed or anything
like that - it only looks at how many hidden + final reviews you've
submitted.

WHEN YOU REACH YOUR GOAL

A few things will happen when you reach your reviewing goal.

First, you will be sent an email saying you've reached your reviewing
goal. This email will contain the password to download a button for MEFA
junkies - people who have reached their goal.

Also, the website will recognize you as a reviewer who met his or her
goal. In the list of users, there will now be a blue ribbon next to your
name. In addition, there is a list of reviewers who have reached their
goals in the FAQ, at

REVIEWING PAST YOUR GOAL

Every year, I am asked what happens when you meet your goal. The
question is usually whether you can review *more* stories than your
goal. And the answer is, most emphatically: YES!!! You can review as
many stories as you'd like, until you run out of nominations or time.
You won't get any more recognition than you get just for meeting your
goal; but you are by all means welcome to review above and beyond your
goal. Like I said, I set 50 as my goal, but I sincerely hope I find the
time to review more than that.

Is there any way I can view all the reviews I've written thus far? I
reviewed a drabble, and now when I look at that story's row, it
doesn't indicate that I've reviewed it. Which means I must have
assigned that review to another story in error. Eep! I think that
fixing this would be pretty easy if I could just see my reviews.

However, I know this is a busy part of the season, when you're
finalizing and sorting and stuff. No urgency. I don't suppose the
author of the other story would particularly *mind* getting a review
that makes no sense. :)

You can use the story filter. Just set it to show only stories you've
already reviewed, and if you are sure it's a drabble, you could narrow it
down more, by showing you only FLFs you've already reviewed.
