Though the Riddermark received the most votes, it was thrown out because the
Faithful of Numenor tied it, with the Kings of Gondor and Arnor tiying with
the Ruling Stewards fwith 9 points. Thus we had the three existing titles
and the Riddermark, which just didn't fit a grouping with any two of the
others.

Also note: I've decided not to worry if a character shows up in more than
one title, so long as it's not exactly the same title, such as the Lonely
Mountain, which received enough votes to stay at the 3rd place for The
Hobbit and also tie for 2nd in Dwarves.

I had to make changes to this one.

Khazad-Dum, a place won with the most votes.
Thorin, a Dwarf tied with the Lonely Mountain, a place (and also a
duplicate): 2nd
Gimli, Aglarond and the Iron Hills tied for 3rd.

Since only two Dwarves are represented but four places, I went with places.
Since the Lonely Mountain is used elsewhere with no alternatives, it was
dropped, leaving Aglardon and the Iron Hills.

choices, I've decided that we'll do new movies until we run out. So, Troy
is in. That puts Van Helsing in 2nd. But we have a three way tie for third

I know that "Lonely Mountain" also placed for dwarves - but for me, it
is a much more identifiable Dwarven home than the Iron Hills, while
lots of these places are pretty stropngly associated with _The
Hobbit_.

Is your decision to use "Lonely Mountain" here instead of in Dwarves
negotiable? If it were me, I'd use "Lonely Mountain" for Dwarves and
either "Misty Mountains" or "Beorn's House" for Dwarves.

Alternately, you could call the Dwarves award "The Erebor Award" -
that is, after all, the Dwarven name for the Lonely Mountain I think.

Very soon, I'll be cleaning off the Staff page on the MEFA web site.
We'll start over with this year. Feel free to re-volunteer if you
volunteered before. This year, I'll only put out the call as
particular volunteers become necessary.

Staff positions of a more permanent nature:

Moderators. I'm one, of course. Sulriel is another. I'd like at
least one more. Someone on the other side of the world would be great
(to be able to handle things if necessary when we Americans are
sleeping).

Promotional Representatives. This is ongoing and easy. If you like
the MEFAs, spread the word! Do update the database to show who's
been contacted and what not. Add Links to the Links section as well.
And if you get another site or group to affiliate (swap
links/banners), let me know so I can get their banner up on the MEFA
website.

Awards Site Administrator: The Awards Site (as I'll call it for now)
is not the same as the MEFA website or the MEFAwards Yahoo site. It's
the automated site we hope to have for the awards! And that means
that this position is already filled by Anthony! I'll send you an
invite to the MEFAStaff group, Anthony.

Seasonal Volunteers presently recruiting:

Author Contactors: Author Contactors will be the same as last year,
only this time you'll have a canned e-mail you can use. (I need to
work on that one.) We'll divide up the first letters of author's
names (first letter of first name since not all use two names) among
the volunteers. Then you will contact the author that correspond to
your letters to get permissions, categorizations, etc. You will then
forward those permissions to me for archiving and update the 2005
Nominations datebase on the MEFAwards yahoo site to show that Yes,
the author did approve (and put the date in).

Nomination Engineers: Nomination Engineers will be the gatherers of
nominations. Since we won't have categories yet at this stage, we
don't need categorizers here. Like with the Author Contactors, we'll
divide up by 1st letters (of titles, minus the words "The", "A",
or "An"). You will gather nominations from posts to this list (that
correspond to your letters)and 1) enter them in a spreadsheet and 2)
enter them in the 2005 Nominations database on the MEFAwards yahoo
site. You will also be in charge of double-checking to be sure that
nominated stories (within their letters) are actually eligible (by
checking the previous nominations database and the 2004 WIPs and
making sure any nominations comply with the rules).

If you'd like to Volunteer, say so and I'll send you an invitatation
to the MEFAStaff group (unless you're already a member from last
year).

Other positions that will likely come available later in the year:

Categorizers (to help sort out categories. I expect a lot less
manipulations this year)

Quality Control (to be intentional at checking for errors--not typos--
in the check ballots)

Vote Counters (just like it sounds)

As always, things will change when and if the automated site is
officially running. Until then, we proceed as if we won't have it
and will be doing things manually, like last year but with the
changes that came from the Post Mortem.

Faramir is definitely Prince of Ithilien - but now that I think of it,
isn't Legolas said to have a colony of elves in Southern Ithilien? or
southern Ithilien? I can't remember if it's capitalized - in which
case S.I. is probably its own political entity - or not - in which
case Legolas's colony just happens to be located in the southern part
of Ithilien but is not its own political entity; it would be
answerable to Faramir's laws.

Yeah, but Celeborn relocated to Rivendell shortly after Galadriel left and hung with Elladan and Elrohir. He *may* have taken Elrond's place, especially since the fate of the twins is so uncertain, but no one really knows. I'll poke around and see if I can't find more on the subject.

The way I've seen it explained most often is that Faramir was the lord of men in Ithilien while Legolas was lord of the elves. Faramir settled in Emyn Arnen (the hills just south of Osgiliath) but it was very possible that Legolas and his elves took up residence either north or south of that. But I don't think an actual name for the colony was ever given. I'll look.

Ainae, I have two Yahoo groups where I'm an active participant, and
I'd be glad to post announcements (assuming the moderators agree): the
Stories of Arda list, and ChristianTolkienFans, which is a more
general list where several people write and read fanfic (Lindelea is
also a member, for instance). I also wouldn't mind taking the HASA and
HA promotion off your hands, if you'd like to delegate that.

I'm interested in helping out with this, but it's contingent on me
getting a technical problem solved - right now I use an Apple laptop.
AppleWorks, the office program, has a spreadsheet that should be able
to save as and open excel spreadsheets, but for some reason my file
format translators are missing. I have been on the phone with Apple TS
several times, and they've been very helpful - I've just been too busy
to spend the time on resolving it like I should. I expect to get this
resolved in the next few days, but if for some reason I'm *not* able
to save a spreadsheet as .xls, I don't think you'll be able to use me?

Not a whole lot. Approve requests for membership, keep the peace, keep an
eye out for sock-puppets or vote stacking. And mostly just when Surliel
and I are not around. Say, you see that there's a new member request and no
one has approved it for a few hours. Might most likely mean Sulrial and I
are asleep or otherwise not around. Then you can approve them. Or say,
someone steps on someone's toes and it begins to run amok and Sulriel and I
don't reply fo ra few hours.... (Something of this anture happened once last
year, though I can't remmber the topic so much as the fact that by the time
I caught up with in the morning, several people had already unsubbed in a
huff.) Beingthat your time zone is quite far off from ours, you might be
likely to be up when we're note.

How does that sound?

Take a look at the Rules. They are both explained. Sock puppets are fake
accounts used to vote in the awards and that makes up vote stacking.
Pretending to be two different voters so you can vote on the same story
twice, thus adding to its points, etc. is cheating.

Well, as long as you can convert it to a comma separated text file, it
should be okay. We just have to make sure all commas in the actual fields
are turned into semi-colons. Or use a different delimitter.

Great. I'll sign you up as a Categorizer as well as Promotional
Representative. We'll wait on the Nomination Engineer until we know we can
get the spreadsheets compatible.

don't want to assume.

Also, not very many votes on those last title polls. Only 8 on the
first, for example, and a tie looming on the last (the one about the

As for two people nominating, ideally, one should be checking what is
already nominated before nominating something, but it could happen, I
suppose, that two people nominate something at the same time, so it could
become an issue. Hmmmm.....

I voted yes, but I'd like to elaborate a little.
I would like to know - I found out last year
because the lovely Larian told me that she had
nominated me! Perhaps we could have a column in
the nomination program that allows the nominator
to fill in their name if they wished? I would
like the nominator to have the option to remain
anonymous should they wish to. Erm... Now I hope
that made sense. It's half past twelve at night
and I've been at school tonight, so, I'm pretty
out of it atm!!!

This is a good point, but it's easily addressed: when you nominate
someone's works, send the author an e-mail telling them what you've
done, and ask them to please forward an e-mail to the mefa staff at
whatever_e-mail@something.com accepting the nomination.

No need of offical mechanisms to let the authors know, and it will
make things easier on the staff if they don't have to devote time to
writing those e-mails.

Yes... But personally, I think it would be better
- more official/professional if the email came
from a MEFA staff member. At least it makes it
known that it's real! :-P Plus then, what
happens if the author gets two nomination emails
for the same story because the nominator hasn't
noticed or has failed to check that the
nomination has already been made? For a new
author (not previously nominated) it might be a
tad confusing to be getting multiple nominations
for the same thing.

Actually, that might complicate matters. See below.

The problem with that is that this year, authors have to do more than accept
the nomiantion. They have to categorize their stories, choose the length
and approve the summary. Since there is so much there, we'd rather that go
through official channels (speaking of which, I still need more official
channels. Volunteers anyone? Need author contactors and did I say I needed
categorization engineers already? I think I did but I can't remember.)

And this thing about telling authors who nominated them is really something
for the automated system (Yes, we're still working on getting it going for
this year!). We have to put together the form letter and all the fields
that will be merged (author, title for sure, but nominator's name?).

Hmmm... This has me thinking. If we get to the nominations on the automated
system, perhaps we could have a field that the nominator chooses. Something
that says "leave me anonymous" or words to that effect. I'll ask Anthony of
it's possible.

If it's not possible to do that, then perhaps
just have a note somewhere that says if a
nominator wishes not to be named, then just type
'anon' in the field? It would produce the same
result but might cut down the techinal
requirements? Provided the note was somewhere
obvious and listed in the rules or something as
well, it should work. I think! :-P

Here's the sitch:

Two writers collaborate to write a story. Let's say a humorous love story
between an Elf and a human but set in the Silmarillion in Gondolin (hey,
there were a few humans there from time to time). The main character is the
human, from Star Trek. Possible categories thus far:
Elves
Silmarillion
Romance
Humor
Cross Cultural
Men
Crossovers

Author #1 chooses these three categories, in this order: Humor, Romance,
Cross Cultural
Author #2 chooses these three categories, in this order: Crossovers,
Silmarillion, Elves

How so we resolve this, categorically speaking?

Do we tell the authors they need to confer together and agree on the 3
choices? Do we ask them to decide who is the top writer and have that
writer make the decisions?

Any ideas?

I think we ask THEM to sort it out. Give them X
amount of time to come to a conclusion and state
that unless they come up with something
themselves in that period of time, then a coin
will be flipped and one author's preference will
be chosen. I personally think that's the fairest
way. Perhaps allow a little leway should one
party be uncontactable... But I think asking the
two authors to sort it out amongst themselves is
by far the fairest way of doing it. At least
then they can't argue that they were hard done by
by the MEFA crew! But I think we do need a back
up system should that be the way we decide.
Because it's definately not smart to let things
like that drag on ad nauseum!

I think if two authors can work together on a story, they should
certainly be able to agree how to categorize it. My impulse would be
to say, from the beginning, that they should choose three categories
between them.

So when we contact the author we would have something like:

"Congratulations, [Author]. Several of your stories have been
nominated for the MEF Awards. If you would like for them to compete,
please reply to this message with first, second, and third choices for
the categories you would like them placed in.

[list of single-author stories]

Additionally, some stories you co-authored were nominated. Please talk
with your co-author and choose a first, second, and third choice
category where both of you would like to see your stories placed for
the following stories:

[list of co-authored stories]

That would be my choice. If they can work together well enough to write a
story, they should be able to agree on the categories. And why three choices? Why

Hello all,

When I started working on this, I was under the impression that the
nominations last year were done via the Yahoo! Group, and therefore
completely open to view. (In fact, I just went and looked at a few.)
Therefore, I actually put the name of the nominator in easy view on the
system. If the new system wasn't available, there would be no
possibility of anonymous nominations, and I can't see why they should
be anonymous.

I can remove the nominator's name from the story's infobox, and if
necessary, I can add an 'anonymous' option, but I'd prefer not, since
there are only about 2 weeks to go before we are supposed to launch
this puppy, and I don't think it should be anonymous in any case.

I've been reading the multiple-author categorization comments as well.
I agree that the authors should confer. I'll tailor the 'author
notification email' to suit, but may need some suggestions. I figure if
they can't agree on categorization, they probably won't give permission
to enter anyway, so it's probably not a big issue.

For several reasons, I have decided not to have the system
automatically send emails. Instead, it will create webpages with all
the information ready to send in an email, which an Author Liaison can
copy/paste and send to an author. Please login as Liaison1/Liaison1 or
Liaison2/Liaison2 (user/pass), and click on the 'Author Liaison' link
at the top of the page to see what the author Liaisons can do. They can
withdraw a story, if the author requests. When the nomination data is
complete, they can check the 'complete' box with the story data, and
get rid of the big red 'Nomination Incomplete' note. There is a link to
the author notification email next to each story. For multiple stories,
the liaison can just copy/paste the appropriate sections from each
story into one email, if desired. There's a place in the story data
form for the liaison to take notes (e.g., 'sent author a notification
email about this story on 4/1/05'), and to copy any permission emails
from the author.

The email is not finished yet, but gives you a flavor for how it will
work. I plan to include all the story data that we're asking for in the
email, so the author can see it, and has the choice to reply and edit
the email or to login to the system and edit there.

Author Liaisons are assigned randomly, but always stick with the same
author. It's easier than trying to keep a list of letters for each
liaison.

To login as anyone else, login as admin/nimda, go to the users list
(near the bottom), and choose 'login as' on the right hand side. You
can even create yourself a regular user from admin. You can also see
what sorts of things the admin can see/do, including editing category
names, changing dates, and other fun stuff. We'll set a real admin
username/password before we kick things off!

I still have plenty of work to do, but it's pretty close. There are
still some rough edges, but its mostly cosmetic. I think that the
functionality is pretty much there. I may leave some cosmetic problems
until after kickoff, if necessary.

Thanks for the good review.

At the lower right hand corner of every page on the awards site, there
is a link to 'ConfTool Pro 1.2.14.'

This page has much of the information about the original author of the
code, which is used to manage academic conferences.

While I have made extensive changes, I don't think I'm a good enough
programmer to have written this from scratch. I'm pretty good at taking
someone else's code and modifying it, however. I've done that several
times, and it seems to work pretty well for me.

Please do let me know if there's anything that doesn't work the way you
think it should, or if anything doesn't do what it says, or otherwise
implies it should do. Also, let me know if there's anything that
doesn't make sense.

Not all of the text on the site is complete. If you see a page that
could use some explanatory text, let me know what it should say. Direct
emails might be nice, so everybody doesn't have to read all the boring
stuff, but if you want it to go through the list, that's fine by me as
well.

Since we're only about 2 weeks away, this is pretty important, and I
need feedback ASAP.

Sorry for my spotty appearance here. I've been very busy at work (not even
time to study my Hungarian) and my kitty got sick and had to go to kitty
hospital (he'll be there until Monday) and I've just been way stressed.

The polls are closed, so now our categories and award titles are all
complete! I'll try and update the Rules this weekend to reflect the titles.
And I'll try and catch up with the automated site stuff then, too.

I'm sorry - I'm not sure quite what you mean. Nominations open April
1, and anyone can nominate a story - a reader or an author. So if
you're not very well known and are afraid that people won't nominate
them, you can nominate your best pieces yourself, if you'd like for
them to compete.

If you're asking how to get more notice in general, I've discovered
that the best way to get noticed is to give other people notice. If
you review someone or (better yet) offer to beta their piece, you
forge a relationship. They know your name so they're more likely to
read your stuff. From there, it just has to be good enough to be
memorable (for the right reasons!)

Sorry I haven't been around guys. I've had the flu. Even looking at a

I hope I'll be completely over it by tomorrow. It takes getting sick to

Q: What ratings are eligible for the MEFAs?

Stories rated G, PG, PG13, and R are eligible; NC17 stories are ineligible.

As with most things, the author has the final say. However, some
authors may rate their stories conservatively for an archive. A story

and "Saving Private Ryan"). NC17 should be reserved for those stories
with extremely adult material, especially those stories that do not
have a point beyond the objectionable content, such as PWPs or their
violent equivalents.



In addition to the ratings, be sure to give appropriate warnings in
the "Reason for Rating: " field of the nomination form.

Yes, Marta, I can edit that. In fact, for now, I'll even put in this URL:

I may have a quibble. Erotic content in PG? Even very mild? I think the
erotic doesn't belong in PG anywhere. This may be a conflict of semantics.
Just what do you consider "erotic". When I hear or read the wordd "erotic",
I get "sex". I can see a case for very mild sex in PG-13, but not in PG.
Romance, yes, sex, no.

That would probably be a good idea for the future. Film and print
really are different media, so I think it's good to put some distance
from the traditional film ratings.

For the future, at a small Denethorcentric archive that I help run we
use a three-tier rating system that I've found works really well:
General, Mature, Adult. General is okay for all audiences. Mature
might be inappropriate for children but is appropriate for mature
teenagers under the age of eighteen. Adult is for those stories that
are really adult in nature and should not be read by minors. If you
want to go with something like that, it might work well.

Not what I mean. I use erotic as any romantic situation. Erotic
content in a PG fic might be a kiss between two people, or a reference
to a pairing some people might consider inappropriate for children.
For example, even mentioning a same-sex pairing, or an incestuous one,
or one between a married person and someone other than their spouse.
Even if the pairing is just mentioned, some people might find this
grounds for a PG rating.

Do you mean replacing the whole paragraph with "What is an NC17?" If
it's up to me, I'd suggest leaving what I have and including a link at
the end. The reason I say this is because there *is* a lot of
misconception about just what an NC17 fic is. There was recently a
thread at the Yahoo groups Henneth_Annun on this very subject, that
generated over 60 posts. I thnk there's a fair amount of
misunderstanding about where exactly the line is drawn. You have the
final call, of course. But I think this would work

Well, I'm quite comfortable with the G-R ratings, but them I'm an American
movie-goer. I realize that some people aren't one or the other and so they
may not be as familiar. But the reason we'd be changing is because there
are rumors out there that the MPAA is getting upset at people using their
system, though I would also argue that this system is so far out in the
public as to be public domain. It may be that it is in danger of becoming
public domain and that is why they are coming down hard, trying to keep
their copyright. (Kleenex went on a campaign trying to get everyone to call
tissues tissues instead of kleenexes for the same reason. I don't think it
worked.)

Not that I'd change the MEFA system unless they personally came after me,
but because all the archives are changing so that when people go to nominate
fics, they'll be looking at K where G used to be.

I think that if we will change our ratings, we'll go for something more
precise than that, similar to what ff.net uses:

K=G
K+=PG
T=PG-13
M=R
A=NC17 (and of course, this would continue to be ineligible)

Right, conflict of semantics. What erotic means for you is not what it
means for me. Anyway, I just changed the phrase to romantic in the PG
answer. And put the "very mild erotic" in the PG-13, I think.

My suggestion is that any WIP nominated last year must be completed by
the last day of nomination season to be eligible as a completed story
this year. I think it's asking too much of us to go back at the end of
readig season and check and make sure all those WIPs actually became
completed.

Well, I've already answered on HA saying it could be to Voting Season. What
are our members thoughts on this? I agree that it would be a lot of work to
check each WIP, and I don't intend to. Last year, someone (usually the
author) notified us. I assume that would be the way we'd do it this year,
if we let them be finished up to Voting Season.

I was spending a couple of hours catching up with HA anyway. Some nice
drabbles went up.

Nothing EVER runs twice as a WIP. It can run once as a WIP and once as
complete. If the authro doesn't let us know, sometimes a reader does. If
no one does, then it's doubtful that anyone read the last chapter to know
it's complete, so they all comment on it as incomplete. Thus it should stay
in the Incomplete categories.

The problem with putting the deadline on it is that, say a story is finished
the first week of Voting Season. But I am still reading. I go to that
story and read it and find out that whoa the last chapter is there. I'd be
in a place to comment on the complete story. If it stays in Incomplete
(because it wasn't finished before the deadline), it has an advantage over
the other stories in that category. I'm likely going to give it a better
review because I have the whole story, the beginning , the middle, and the
end.

That's why we moved the stories, I think. They are then complete and can
compete with that category of stories. If the group is notified, anyone who
read that story as incomplete can choose to read the last chapters and
revise their vote (provided it wasn't posted yet. We may want to decide
what to do in that case.)

reading season).

Marta, I think you're making things more complicated than they need to be.
Znd this is not particularly something I wanted to discuss on the list. We
can only police things so far. We're not the internet fanfic cops. In many
ways we have to rely on members' integrity. Once we get the automated
system up and running, hopefully it will be a lot more secure, but as things
stand, we're just people with computers and an internet connection.

Just try and keep it simple. It must be finished before April 1st. I've had
stories I've gone back and fixed a typo (or 200 typos) for years after they
were finished. To me, that didn't change the "finished" date. Oswiecim was
finished in 1997 (though it wasn't posted until 1998). I went back and fixed
typos (several hundred first, then maybe a hundred, then maybe 25, etc.)
over the years. I had to repost it to ffnet a while back because it
mysteriously disappeared. It was still FINISHED in 1997.

If it was a WIP last year and is not finished this year by April 1st, it
must wait until next year.

Hold onto these for a couple more days. Nomination Season is not officially
open yet. And we are hoping to get the web setup so nominations can happen
there. Anthony and I are actually working on it at this minute.

Good to see you ready to participate, though! Keep that enthusiasm. I'll
post an announcement at midnight April 1st (central US) to say when
Nomination Season opens.

Anthony and I are just about ready with the new automated system!
We've got one day to work out all the kinks and get some directions
out here. (I'll try and find Anthony's test directions as they'll be
close to that.)

But we still need Author Contactors (or Author Liaisons, as they'll
be called on the site). So far, there are only 2, me and Thundera.
It won't be a lot to do, as we will have the automated system up and
it will even generate e-mail text. All you have to do is copy and
paste it into and e-mail and send! You'll be a liaison for authors
who are not members of MEFAwards at YahooGroups.

So, how about it? Anymore volunteers?

No one, as we'll be using the new web site. That said, I must say we're
likely going to postpone Nomination Season a few days. Why? Because we're
trying to get the last kinks out of the new MEFA2005 site. Anthony lives in
another state from me. But he needs to be able to log into my network to
administer the site. I'm working on that, but my server has decided it
doesn't want to play nice with the router and thus isn't on the network.
I've got to figure that out because I can do anything else on the MEFA2005
site.

So, hold onto those horses, everyone. Once we get this straightened out, the
new MEFA2005 site (not to be confused with our usual MEFA website or the
YahooGroup site) will be a great way to run the Awards and an easy way to
nominate and vote.

At worst, this will only be a delay through the weekend and maybe Monday.
(My birthday is next week, so I'm being taken out this weekend and may not
be playing on my PC's much.)

Rest assured, we will get this going very soon.

That's right. We're about to start the 2005 Nomination Season, so
we're about to start nominating. So we need Nominee buttons for
authors to put on their pages. All the ones we had were for 2004 and
now they're gone!

So we need new ones. All you who like making banners and buttons,
and even those who haven't tried it yet (hey, I hadn't tried it until
last year, then I made dozens!), get your image editors running and
make some Nominee buttons.

If you'd like to make a Nominee button, please follow these rules:

Buttons must be no larger than 110 pixels wide x 70 pixels high

Buttons must contain one of these sets of words:

2005 MEFA Nominee
Nominee MEFA 2005

Buttons uploaded to the Yahoo site must be named Nom #x (x being the
next number up from what is already posted)

Buttons must be uploaded to the Yahoo site in the folder
