someone mentioned (can't remember if it's here, LJ, or private email)
that the emails her liaison sent were caught in her spam trap.
So what you are seeing now is this list of hard-to-reach authors doing
what it's supposed to do: authors that were originally not being
reached have been reached and have made a start on their nominations.

Daughter". If she would rather compete as "Mirien", she will need to change
that on the MEFA site (and she should also let me know if she changes her
name, so I can create a cross-reference in the archive between "Erin's
Daughter" and "Mirien").

Thanks for the input on this problem, Bonnie and Cactuskim. Poking around
online, it does look like IE8 may still have some "issues". So PipMer, if
it's not too much of a hassle I would recommend just sticking with Firefox
at least until there is an update to IE8 that would hopefully fix some of
its problems. You may want to try some of the things Bonnie suggested, too,
such as with the security levels. If you do continue to use IE8, please keep
us updated on how it's working and if you're having any other problems pop
up.

Last year there was a technical problem that happened when people
tried to set their review goal while nominations were still coming in.
So this year we decided to only let people set their reviewing goal
once nominations closed.
You will be able to set your goal between July 1 and August 31. In
that time window, a link will appear on the MEFA webpage, prompting
you to enter your goal. And don't worry - reviews you enter now will
still count; you just can't tell the website what you want your goal
to be quite yet. :-)
Glad to know you are looking to best yourself. I'm sure the authors

One of the most important categorization issues to understand concerns changes made this year to how ficlets are categorized. The MEFAs define a "ficlet" as a piece 1000 words or less. At exactly 100 words, drabbles are the best example. Ficlets may also be organized into "series," or groups of related ficlets. For example, a ficlet series might include five ficlets of exactly 200 words, each looking at the arrival of the Istari in Middle-earth from a different wizard's perspective.
In the past, ficlets and ficlet series have *only* competed against other ficlets and ficlet series. This often meant that ficlets and ficlet series competed against works very different from them in every other way ... except for the fact that they were all ficlets. For example, my series about about the Istari might compete against a series about the sons of Fëanor, a triple drabble about the early years of Sam and Rosie's marriage, a 400-word ficlet about Legolas's childhood, and a series about the drowning of Númenor because all of these authors chose "Drama" as their third category choice, and there were not enough ficlets in any of their first two category choices to categorize those stories there instead.
In order to remedy this situation, categorization of ficlets has changed a bit for the 2009 awards. Drabbles (exactly 100 words) and short drabble series will still compete *only* against other drabbles and short drabble series. Drabble series are considered "short" if they contain five or fewer items, although this is not a hard-and-fast rule. Authors of drabble series should discuss with their liaison where their piece fits best. Other ficlets and ficlet series now have a choice whether or not they'd like to compete only with other ficlets or whether they'd like to compete with works of all lengths.
For 2009, it is also important to note that the definition of "ficlet" has changed from 500 words or less to 1000 words or less, and ficlets do not have to be "fixed-length": Any individual story less than 1000 words, whether it aims for a particular word count or not, can compete as a ficlet if the author chooses. A series can compete against other ficlets if no part of that series exceeds 1000 words, even if the total word count is over 1000 words.
The question also arises at times about "mixed" ficlet series: that is, a series where the individual parts of the series are of varying lengths. For a ficlet series to compete with drabbles, *all* parts of the series must be drabbles. If the ficlet series contains drabbles in addition to other ficlets, the author has the choice of competing with other ficlets or with stories of all lengths.
If you decide that you would like your ficlet or ficlet series to compete only against other ficlets, you will need to choose "Genres: Ficlets" as your first-choice category, as well as two other categories of your choice. This will assure that you will compete *only* against other ficlets, even if they have nothing in common outside of being ficlets.
So, to recap, ficlets will be categorized in 2009 as follows:
-100 words exactly (drabble) --> competes only against other drabbles
-short drabble series --> competes only against other drabbles
-longer drabble series --> choose "Genre: Ficlets" *or* compete against pieces of all lengths
-ficlets between 101 and 1000 words --> choose "Genre: Ficlets" *or* compete against against pieces of all lengths
-ficlet series with items between 101 and 1000 words --> choose "Genre: Ficlets" *or* compete against against pieces of all lengths

CATEGORIZING OTHER "SPECIAL GROUPS"
Within the broad definition of "Tolkien fan fiction," there are other types of stories that often wish to compete with similar stories. For example, crossover stories involve story elements from Tolkien's works as well as another source material, such as the Harry Potter books or events from our Modern-earth history. Authors of crossovers often wish to compete against other crossover stories. Likewise, novelists often wish their stories to compete against other novels, alternate universe (AU) against other AU, Silmarillion stories against other Silmarillion stories, and so on.
How do you assure that your story will compete against others like it? The key is to carefully choose the categories in which you want your story to compete.
When filling out the story form, you have the opportunity to choose three categories for your story. These categories will determine the grouping in which your story will compete and, as such, choosing categories is important to assuring that your story is categorized appropriately. The first category you choose should be the category that you believe best fits your story; the second should be the second-best fit for your story, and so on. During categorization, the MEFA staff will do their best to see that your story competes in your preferred categories.
Therefore, if you want your story to compete against others of the same type, choose that as your first category choice. For example, for my hypothetical story about Frodo and Harry Potter questing together to destroy the One Ring, I might choose as a first category "Genres: Crossover." This will signal to the MEFA staff that I prefer my story to compete against other crossovers. If I want my romance story about Maedhros to compete with other Silmarillion stories, then I would choose as my first category "Times: First Age" rather than "Races: Elves," "Genres: Romance," or any other categories into which the story fits.
In addition, crossover stories that involve historical events from the real world may also choose Times: Modern Times as a category. This category covers everything after the canonical Fourth Age, and so stories that involve Modern-earth history often fit well in both Genres: Crossover and Times: Modern Times categories.
Remember, though that you will need to choose *three* categories, and these subsequent choices are also important, as your story may be categorized based on your second- or third-choice category. For example, imagine that only three stories include the category "Genres: Crossover" this year in their category choices. There are not enough stories, then, for crossovers to compete together. Perhaps you'd rather your story compete against other stories with Hobbits in them than other dramas or other stories set in the Third Age. In this case, you should choose "Races: Hobbits" as your second category and your next preferred category for the third.

It is often valuable to take a moment to read over the list, including the descriptions of those categories you think might be most relevant for your story, and jot down a list of those in which you would not mind competing. Finally, since stories don't always end up in their first-choice category, if the story is of a special type that is not immediately apparent based on how it ends up categorized, it is sometimes helpful to note this in the summary. For example, imagine that the Genres: Crossover category is not available for my story about Harry Potter and Frodo, and the story ends up in my second-choice category, which is Races: Hobbits. It is often useful to readers if the summary specifies that the story is a crossover. AUs are another type of story where notation in the summary helps the author to know what to expect of the story and, therefore, judge it more fairly.

As you probably know (but it bears repeating!), nominations will close
on June 30, at 11:59 PM GMT. Authors will have another week after that
to tie up any loose ends, which means that if you nominate something
and the author never accepts the nomination, the story may not be
withdrawn until July 7 - too late for you to nominate something else
in its place.
To help fight against this, a few years ago we developed something
called the two week rule. Liaisons would try to contact authors for
two weeks, after which time the nominator would be contacted. The
nominator could choose to withdraw the nomination and replace it with
another nomination for another story if they wanted. (The nominator
can also choose to leave the nomination in if she prefers.) Authors
don't have to *complete* the nomination process by this date, but they
do have to give us some sign that they've at least heard that they've
been nominated. Begin the form, email the liaison to say they're
thinking about it, something like that. The point is that if an author
doesn't reply, we will assume they can't be contacted and so will give
the nominator a chance to use the nomination on another piece. The
withdrawn story will still be eligible to compete, but someone will
have to nominate it again.
I'm bringing all this up now because there are about three weeks left
in the nomination season. Starting next week, the two weeks rule won't
help you because two weeks will be after nominations have closed. You
can still nominate after that point, but you would only be able to
replace a nomination if the author got in touch and said she didn't
want to be nominated.
So: if you have any nominations you'd like to make, particularly if
this is the first time that author has been nominated this year,
please make them sooner rather than later. It usually takes our
liaisons a day or two to make sure a story is eligible and send out a
nomination letter, and that's when the clock starts ticking for the
two weeks rule. To be safe, you should try to nominate a story by next
Sunday if you think we may have a hard time reaching the author;
otherwise, you risk losing the nomination if they never get in touch.
Of course we welcome nominations up until June 30, but nominating now
is the smart thing to do. Happy nominating! :-)

"Email sent to author" at the website. I interpret that as meaning
that the liaison contacted the author but the author hasn't now
replied. I see now where I have received those emails Dreamflower
forwarded on to me, but when I put together this list I was only
looking at the website.
To fix this, I have set the status of one of these nominations to
"author has replied but not begun form." I don't know if that's
technically correct, but it will be my cue to keep mir_noldoris off
the hard-to-reach list. Dreamflower, if you'd like you can change the
status to anything showing that the author has actually contacted you
or begun work on the form.

I just wanted to give everyone a heads-up. I will be out of contact
for a few days mid-week, and while Inkling has graciously agreed to
answer any questions that come up here, you may notice a delay of a
few days in answers to emails sent to me privately at
mefasupport-at-mefawards-dot-net. There will also be a hold-up on
finalizing new nominations. As you may or may not know, after a
liaison approves the nomination form I give it a final once-over
before the nomination is finalized. I won't be able to do my part
probably until Friday. So if your nomination is taking longer than you
expect to be finalized, please be patient.
Also, one of our most active volunteers had a RL situation pop up. You
*may* notice a small delay in password questions and getting new
accounts set up. If this happens please be patient. There are still
several weeks before nominations close, and we'll get you set up as
soon as we can.

are through with the form. The last two can be done by the website --
obviously the form is filled out there, and Mir can include a note
along the lines of "I am satisfied with this form" in the nomination
notes section of the field. She should also make sure she selects the
"author satisfied with form" status at the bottom of the form.
That still leaves officially accepting the nomination. I know Mir told
me that she would accept at least one of the nominations, before I
nominated her, but if she could email me again that would be great.
Ideally she should email me at mefasupport-at-mefawards-dot-net, and
she should say something along the line of "I accept my nominations
for 'Sight' and 'Two'." Usually authors email something along these
lines to the liaison, but if we're concerned about messages getting
caught by overactive spam traps or whatever... I'll be happy to accept
the email and let Dreamflower know I received it so things can move
forward.
Also, Dreamflower may have concerns about the form that need to be
fixed. (Or I may have them when I finalize the nomination.) We really
do need a way to get through to the author, but this doesn't have to
be by email. I know Mir and Dreamflower are both on LJ; in the past,
authors and liaisons in this situation have sometimes left comments on
each others' most recent posts, or have even set up a special post
where they could trade messages. Would something like that work better
for Mir?

the contests, and it is a complicated subject! Each story competing will be
assigned to a main category for competition, and then probably into a
subcategory as well, one that will contain between five and fifteen pieces all
told. Making certain your piece is competing fairly against other pieces in the
proper subcategory requires a fair amount of thought and proper choices when
filling out the author's form.
The first few questions asked when filling out the author's form are already
answered for you, if the story was nominated by someone else: the Author Name
by which you are identified in the contest, the Title of the story that has been
nominated, and the URL for the story at least one site where it can be read.
The first question that truly helps identify how the piece will be categorized
is the Story Type question: whether the piece is a Drabble, Incomplete (work in
progress), Nonfiction, Poetry, or Story. The answer should be obvious and easy
to choose.
The next question that helps identify how the piece will be categorized is
Length. This is a question that is vital for stories, but is not used in
categorizing either Poetry or Nonfiction works. Again, this question is fairly
straightforward and can be answered pretty easily. Most word processors have
word-count options (under Tools for Microsoft Word and Works) that can be used
to determine with fair accuracy how long a particular story is, although if you
are a frequent user of dashes as I am it may undercount your actual word usage.
However, such inaccuracies are only vital in works intended for fixed-length
categories such as Drabbles, so ordinarily they are sufficient for most usages.
If your story is a drabble or drabble series or a work in progress, then there
are two more questions that will need to be answered appropriately--the
Drabble/WIP confirmation and Drabble/Ficlet/WIP description questions, which
will assist in making certain your work will be placed in competition with other
works in the same classifications.
It is when you come to the Main Categories question, however, that what you
choose and the order in which you choose it become highly important to how your
own story will be classified for competition. It is vital that you think
carefully, and choose as your first category the one that you feel best fits
your piece. If you have a story that is AU, is a Drama, is basically about
Hobbits but includes Men as well, and is set in the post-Ring War period,
consider well which of those features you consider most important in
categorizing the story before making your first choice. Which category best
defines it--AU, Drama, dealing with Hobbits as a race, dealing with Men as a
race, or the time period in which the story takes place? Think carefully to
prioritize your choices, and choose IN ORDER the three choices that you feel
best describe your story. I had an AU crossover piece that would perhaps have
best competed in the Humor category competing in the general category of Hobbits
last year because I did NOT properly prioritize my selections.
Story Setting is another important choice that may well be used by the
categorizers in assigning your story to an appropriate subcategory. If in your
story you feel its setting is immaterial to the tale, you may choose to leave
this choice at N/A. If you choose a setting, however, be aware that whatever
setting you choose may be used to assign the story to a subcategory involving
that setting.
Characters For Categorization is the next setting that may be used to assign
subcategories. If the categorizers find that there are, say, forty stories
whose primary category is Humor, then they may decide to break them down into
smaller categories depending on whether or not the story is focused on
particular popular main characters such as one of the members of the Fellowship,
one of the Peredhel, members of Feanor's family, and so on.
If you feel the actual characters are immaterial to the story categorization
itself, again you can choose to leave all three settings at N/A. The same may
be true for the Events and Time Periods choices and the Subgenre choices.
So, as you fill out your forms try to think how each story would be best
described and prioritize your choices before committing yourself. It makes the
categorizers' jobs that much the easier and will cause you less stress when the
check ballots are released!
Remember--some careful thought now may save you grief later in the MEFA season!

know you have had some contact. When I set up these lists, I go by the
statuses at the websites, and this one had the status "Email Sent to
Author." That usually means the liaison has sent the email but not
heard back yet. So I include these kinds of stories on these lists.
To keep Indigo from showing up in the future as someone who's not made
contact, I've changed the status of that nomination to "Author has
replied but not begun form."

Okay, I looked at that nomination - it has that "Email Sent to Author"

I have set this nomination's status to "Author has begun but not
finished form." That way she won't appear on future lists like this.
It probably would be a good idea to email her to make sure that's the

note (in the nomination notes section of the form) that you have done
this, just for the record.
I do ask that you don't select the status "Author satisfied with form"
unless your author explicitly asks you to do that. That's part of how
they tell us they're done with the form, and we shouldn't just assume
that.

If emails are getting lost I can also set up a post on LJ that only
she and I can see (I'd need her LJ name). I just am not comfortable
passing on passwords through a third party.
If she gets in touch with either Elliska or myself to say she wants to
compete then that will help even if she can't fill out the form
immediately. We allow nominators to withdraw the nomination after two
weeks, but only if the author hasn't been in contact at all. She can
then have until July 7 to accept the nomination and finalize the
story's form.

Please tell her that her story "A Short Tale of a Tiny Elf" has been
nominated and that she was sent an email about this on 6/4 at 8:36 AM
(GMT). The email gave her instructions on the awards and how to accept
her nomination. She is free to find out more about the awards at our
website www.mefawards.net/MEFA2009/ where we have extensive FAQs, and
she can log in as a guest to see what other stories are being
nominated. The thirty-second version is we are a fanfic compeition for
tolkien-based fanfic of all sorts (all races and time period; and het,
slash, and gen) where people vote by writing reviews for stories.
She will provide information about her story that will be used to sort
it into a subcategory of 5-13 pieces, and within that subcategory we
give out awards based on how many and how long of reviews a story
gets; but even if she does not win an award she can still see the
reviews and enjoy the increased publicity. Like I said, our awards
program crosses all time periods and races, so she may get readers who
wouldn't follow the archive where she posts. The down side is that we
do allow constructive criticism, and while reviewers are highly
encouraged to mix the good with the bad and we do delete flames,
authors do need to think about whether that would be upsetting for
them.
I'm happy to discuss this with her, as is her liaison. She can contact
me at mefasupport-at-mefawards-dot-net, or her liaison at
foxrafer-at-gmail-dot-com.
On to the nomination. To compete KyMahalei will need to fill out a
form at our website, and to do that she will need a password. She
should have already been sent this (sorry, I can't track down
precisely when), but if she never received it she can have it resent
by using the "Forgotten Password?" link at www.mefawards.net/MEFA2009/
. Or she can email me at mefasupport-at-mefawards-dot-net and I will
send it to her by email.
Once she is logged in she needs to begin her form by clicking the
"View your stories that have been nominated" link, then clicking the
"Edit Data" link under the story she wants to work on. This will bring
her to a form she fills out giving us the information to organize her
story into a category and subcategory; the information is also used by
voters to find stories they want to read - e.g. about a certain
character. She will also need to email her liaison to say she wants to
compete, and either email her liaison again to say she is done with
the form or make a note to this effect in the "Nomination Notes"
section of the form itself. She can copy me on that email, too, if
she's concerned emails aren't getting through.
We're under a bit of a time situation here. Foxrafer sent an email to
this author on June 4 saying she was nominated, and authors are
supposed to have two weeks to reply to that email or otherwise show
they know they've been nominated. Otherwise the liaison is supposed to
offer to withdraw the nomination, so the nominator can nominate
another one in its place. That means that technically we're supposed
to hear from KyMahalei that she wants to compete by June 18 - two days
from now. I'll ask Foxrafer to hold off on this until the twentieth to
give you more time to contact Kymahalei, but at that point the
nomination *may* be withdrawn if the nominator wants to nominate
something else. KyMahalei would still have until June 7 to finish her
form and let us know she was done with it.
I know this is a lot of information and I went on longer than I wanted
to! So if you could perhaps emphasize the most important bits (what
KyMahalei needs to do to compete, and when she needs to do it by) that
would be great. Feel free to pass on as much information as you like.

later. Or you see a story that you know and love and plan to review it, but
you were really looking to read something new. So, next time, will you have
to wade through all 566 stories to find these two again? Start a file and
keep notes of titles, authors, and URLs? How do experienced MEFA reviewers
possibly manage such an enormous volume of stories when planning their
reviews each year?
The MEFA website offers two tools that make the reviewer's job immensely
easier to organize: wish and skip lists. The wish list allows you to compile
a listing of stories that you'd like to review and store it right on the
MEFA website. The skip list allows you to mark stories that you don't want
to appear in the complete listing or in your search results.

REMOVING ITEMS FROM WISH AND SKIP LISTS
I usually begin my MEFA reviewing season by adding any stories I've written
to Skip (since I can't review my own stories, even if I wanted to) and then
constructing a wish list. Anything that sounds remotely interesting gets
tossed into the basket, with the result that I sometimes end up with a wish
list with hundreds of stories on it. While some may be up to the task of
reviewing that many stories, others will find it only slightly less
overwhelming as the original 566. Is it possible to remove stories from your
wish list once you've added them?
Stories are removed from the wish list in two ways: They are removed if you
enter a review for the story, or you can choose to remove the story without
reviewing it.
Remember that Actions column in the story listing? Filter out your wish or
skip list and look again at that column. Now you will see that the links to
add the story to one of your lists have been replaced with links to remove
the story from the list on which you've placed it. A click of the mouse, and
you're done!

awards is on June 30. You will be able to nominate until 11:59 pm GMT
on that day, and then no more! Authors have until July 7 to finish up
the nomination process, which includes:
a. Emailing their liaison (or mefasupport-at-mefawards-dot-net) to
accept the nomination.
b. Filling out a form at our website about the story
c. Noting that they are done with the form, either in the Nomination
Notes space on the form or by emailing their liaison
d. Making any corrections requested by the liaison (if applicable)
The nomination form will then be approved by the liaison and myself.
Once all steps are completed, you will see "Nomination Finalized"
beside the nomination at the MEFA website. All steps must be done by
July 7 if you wish to compete.
Also: I will be traveling on June 27-28, so won't be checking emails.
This is the last weekend before nominations close - obviously a
not-so-slight problem if you need your password sent to you so you can
nominate a story. I highly recommend that everyone who has not done so
yet, please try to log in to our website now to make sure you have a
working password. The website address is:

I would hate for you to miss out on nominating because I wasn't around
to help you log in. If you cannot log in please use the "Forgot
password?" link to have your password automatically sent to you, and

As we get closer to the end of nominations, the liaisons and I are
working hard to make sure that every nominated author who wants to
compete, actually gets that chance. About 3/4 of all the nominated
stories are 100% ready to compete, and given that authors have over
two weeks to tie up loose ends, that's pretty good! But I think that
if even one person wants to compete but doesn't because they didn't
know about a deadline or didn't know they still had something to do,
that's one person too many.
To help with this, I'm going to post a list of *every* nomination that
is 100% ready to compete - "Nomination finalized" in MEFA parlance.
Because of the length of this list I have just posted it to the mefas
LJ community. Check it out at:

Please check your name, and if there is a story you think should be
listed but isn't, get in touch with your liaison. Or with me -- if
you're concerned emails to your liaison aren't getting through you can

You might also want to check on the authors you nominated. If you
don't see them on this list you should encourage them to get in touch
with their liaisons, if they think that they're done. But remember:
nominations might be withdrawn if they were invalid (like if they had
a bad URL or if they'd competed in the past), and the author wouldn't
necessarily know they were nominated in this case. So if you want to
contact the authors you nominated, please make sure they weren't
withdrawn first. Log in to www.mefawards.net/MEFA2009/ and click the
"All" link beside "Withdrawn Stories and Nominations" to see a list of
withdrawn stories.

That's actually a good idea, and since the list itself is posted at LJ I
can edit it. How about I update the list when I finalize nominations?
(I've done that with the ones I just finalized today.)
There may still be a slight delay between the author finishing his or
her part, and me getting them finalized. But at least the list is as up
to date as I can make it.

It looks like the server is down. This is on the host's end, so is out of our control. They currently have a technician working on the problem. If you are unable to get to the site, just wait a while (maybe 20 minutes or so) then try again. Depending on the problem, it could be fixed in minutes or it could take an hour or more.

On the Use of Story Filters Posted by Bonnie L. Sherrell June 26, 2009 - 3:38:37 Topic ID# 10059I find the *Story Filters* feature to be invaluable as I work on reading and
reviewing. Almost always I first choose *Have Not Reviewed* under *Review
Status* so that I don’t have to look at the titles of stories I’ve already done
reviews for, after which I look at other criteria that will allow me to choose
the particular types of stories that best fit my mood and the amount of time I
have available to read and review.
I have to leave for work in an hour but would like to make a bit of a dent on my
Review Junkie goal? Then I will generally choose to read ficlets or drabbles,
both of which can be found under the *Length* choice. I have just read one
story by an author I’ve not read before and liked her work so well I want to
read more? I go to the *Author* choice, find the particular author’s name, and
look to see what other stories are available, and perhaps take a note of the
archive sites where I will find her work.
Maybe I’m in a mood to read Frodo in Gondor stories. One can do searches on
*Hobbits-Frodo Baggins* under *Characters* and *Gondor-Minas Tirith (Minas
Anor)* under *Settings* and come up with the titles of the four stories I’ve not
yet reviewed that meet that dual criteria. Or I wish to know how many stories
Grey Wonderer has competing this year that contain Frodo Baggins in them. I
search under *Author* for *grey_wonderer* and *Character* for *Hobbits-Frodo
Baggins* and find two entries. I’m in a mood to read angst involving Faramir?
Choose under *Characters* and *Genre*--I’ve found five stories so far that use
that dual criteria. I want to read a novel involving Legolas and Aragorn? That
can get a bit trickier--I’d choose *Novel-40,001 words or more* under *Length*
and *Men of the North-Aragorn II* under *Character* and find that there are
seven novels that involve Aragorn; a quick scan of the summaries show me two
also involve Legolas.
Once I learn what categories my stories are assigned to, I can learn what other
stories each will be competing against using the filters. I can revise draft
reviews up to the end of voting season; to make certain I finish my draft
reviews and change their status to final I can filter on that status. I may
decide I want to read a story I’d previously marked *Skip* after all, so I can
search through all the stories I’d marked *Skip* to find it. Or I decide I’m
feeling generous and want to make certain every single author gets at least one
review--I can search on that criteria and find those stories that haven’t
received a review as yet.
The *Story Filters* feature can quickly become invaluable to you as you search
for the particular types of stories you wish to read. Experiment with them
freely, and use them to read this year’s offerings more enjoyably and
expediently.

The end of nominations is a pretty busy time in MEFA land. I thought I
would mention some things that will be happening over the next two weeks
so you all know what to expect.
--- Nominations for the 2009 MEFAs is only open for a few more days. You
will not be able to make nominations AFTER 11:59 PM ON JUNE 30 (Tuesday).
This time is GMT; to see what this calculates to in your own time zone
please go to any page on the MEFA website and look for the "Page served
at:" line in the bottom left corner. This gives you the time that page
was displayed in GMT; you can compare it with your own local time to see
how many hours before or behind you are of GMT.
This is a hard deadline enforced by the website - the website will not
accept new nomination forms after the June 30 deadline. Even if you are
a few seconds late, we will not accept your nomination. So get them in
early!

I can't remember when voting ended that year for sure, but 9/08 does
sound like it would have been before voting ended. So technically she
should have gotten in touch with us to say it was finished. In which
case it would have been moved to a subcategory with other finished
stories, and wouldn't be eligible anymore.
That said, I think a lot of people will only read non-WIPs. (I can
personally count the number of WIPs I've reviewed for the MEFAs on one

There seems to be confusion on the dates. As surgeon_ruth said, the story
was completed two years after it competed as a WIP. It competed in 2006 and
was finished in 2008. The author only appears in the 2006 database, she has
never competed in any other year.

If you have been to the MEFA website in the last two hours you ay have
noticed that your links to nominate stories are gone. While North/South
Americans, Australians, Asians, and the like may still have the calendar
turned to June 30, according to GMT we have passed into July 1, which
means the end of nominations.
*throws confetti*
Great work, guys! As of right now there are exactly 750 nominations, 528
of which are 100% ready to compete. (The status "nomination finalized"
in MEFA parlance.) Over the next week, hopefully we will see a lot of
those finalized. Those nominations that aren't finalized will be
withdrawn so by about July 7, you can be reasonably sure that every
piece on our website will be competing in the awards.
But you don't have to wait until next week. The MEFA website tells you
how much progress an author has made toward accepting the nomination. Go
to www.mefawards.net/MEFA2009/ and click the "Stories" link at the top
of the page. Now look on the right side of your screen - you will see
things like "Nomination Finalized," "Email sent to Author," etc. Any
story with the status "Nomination Finalized" is 100% ready to go and
will compete in this year's awards. Why don't you try to review one
"Nomination Finalized" story this week?
I want to take the opportunity to thank some very special volunteers who
helped out during nominations.
* Tanaqui, our technical support volunteer, not only developed many
useful features that made nominations easier, she also handled errors
people came up with. Aranel Took pitched in admirably as well whenever
she was needed.
* Elliska has set up member accounts, putting in the legwork to make
sure members don't already have an account on the website. This is the
one area of the awards that I really take for granted, because Elliska
does such a great job making it run smoothly. And this year was far from
an exception.
* PipMer is our one-woman welcome wagon. As welcome manager she contacts
every new member and answers any questions they have. That's a lot of
emails, and I think it helps a lot.
* Speaking of lots of emails and questions, I really can't thank all the
liaisons enough. This year the liaisons are Agape4gondor,
Aranelgoldenflower, Brindlemom2, Cathleen, Dreamflower, Dwimordene,
Elea24, Elliska, Fiondil, Foxrafer, Inkling, Linaewen, and Nancy Brooke.
They each worked (and are still working) with nominated authors to get
their nominations ready for the competition. This is an incredibly time-
and energy-intensive way of helping out, but they did it admirably.
* Nieriel Raina has taken on the job of organizing this year's banners.
And there are some beauties! Check out www.photobucket.com/mefa09n (pwd:
celebrimbor), even if you aren't a nominated author, just to check out
all the shinies our banner artists have created. Thanks to Cactuskim,
Elea24, Elena Tiriel, Elleth, Nath, Nieriel Raina, red lasbelin, and Viv

* This year's rating panel is comprised of Annmarwalk, Oshun, Sulriel,
and Raksha. They have read many stories, quickly, and gave their opinion
on what rating was appropriate -- even when the material was not their
cup of Earl Grey.
* Dawn Felagund and Larner have taken on the task of making MEFA
announcements every week, telling you how to use site features. There
have been some very informative posts so far, and more is yet to come.
* Our promoters have talked up the awards across the intarwebz. Hats off
to Agape4gondor, Alassante, Annmarwalk, Aranel Took, Branwyn,
Brindlemom2, Cathleen, Dawn Felagund, Dreamflower, Dwimordene, Ellie,
Inkling, Larner, Nancy Brooke, Nieriel Raina and Obsidianj.
And I'm sure I'm leaving some people off. Obviously lots of people have
worked very hard to make the MEFAs happen. Thanks, one and all for all
your hard work.
And thank *you*, everyone who nominated a story or accepted a nomination
for one of their own stories. We wouldn't be here without you. :-)

I just wanted to say again how very much I value these awards... not for
the award itself, but for enabling me to 'find' glorious writing works.
I am always amazed at the wondrous works that 'pop up' in nominations..... I
am in awe of the talent that is still out there, pumping out story after
story....
I ran across an author tonight who I would never have read.... the fanfic
'world' is so wide, it's next to impossible to find and read everything....
This story just blew me out of the water - the writing was incredible....
tore at my soul while drowning me in the beauty of the author's words and
phrases.... Incredible.
So once again, I thank Marta and all those involved for their dedication
over the years to keep these awards 'alive' and available to all to share,
enjoy, weep over, and giggle. And sit back and rejoice in the joy of
reading.
